Job summary

Retail Reinvented is a small, fast-moving agentic commerce agency. We build and operate AI-native commerce platforms for lighting and complex-product manufacturers, and we run our own products.

You'll be the operational spine of the business — the person who makes sure the money is right, the filings are on time, and nothing falls through the cracks while the team builds. This role serves both the agency and, for select engagements, our clients.

Qualifications

• 5+ years in bookkeeping/operations in agency or small business.
• Strong QuickBooks Online; month-end close with minimal supervision.
• Knowledge of multi-state sales tax and nexus rules.
• Familiarity with CA employment law and payroll platforms.
• Excellent written communication with clients and state agencies.
• Experience with ecommerce platforms and reporting quirks.
• Exposure to Avalara, TaxJar, or Stripe Tax.
• Bookkeeping certification or accounting coursework.
• Experience supporting multiple legal entities.

Responsibilities

• Full-cycle bookkeeping in QuickBooks Online: AP/AR, reconciliations, month-end close.
• Invoicing, collections, and revenue recognition across retainer and project work.
• Cash flow forecasting and monthly P&L review with CEO.
• Expense management, corporate card reconciliation, contractor payments, 1099s.
• Coordinate with outside CPA for tax prep and year-end.
• Monitor multi-state nexus for agencies and clients.
• Register, file, remit taxes; manage compliance calendar.
• Sales tax automation setup (Stripe Tax, Avalara, or similar) and reconcile.
• Maintain entity filings, licenses, registered agent, and renewals.
• Onboard/offboard employees; payroll administration and benefits liaison.
• Maintain employee records and CA employment-law compliance.
• Support hiring logistics as team scales.
• Vendor/SaaS management; renewals and cost reviews.
• Contract administration: MSAs, SOWs, NDAs; track dates.
• Internal docs and process improvements; client-facing ops on engagements.

About the role

What you'll do

Finance & Bookkeeping

• Full-cycle bookkeeping in QuickBooks Online: AP, AR, reconciliations, month-end close
• Client invoicing, collections, and revenue recognition across retainer and project engagements
• Cash flow forecasting and monthly P&L review with the CEO
• Expense management, corporate card reconciliation, contractor payments and 1099s
• Coordination with outside CPA for tax prep and year-end

Sales Tax & Compliance

• Monitor economic nexus thresholds across states for the agency and client entities
• Manage registrations, filings, and remittances; own the compliance calendar
• Administer sales tax automation (Stripe Tax, Avalara, or equivalent) and reconcile against platform reporting
• Maintain entity filings, business licenses, registered agent, and insurance renewals

Human Resources

• Onboarding and offboarding, employment agreements, contractor classification
• Payroll administration and benefits liaison
• Maintain employee records, policies, and handbook; ensure CA employment law compliance
• Support hiring logistics as the team scales

Office & General Operations

• Vendor and SaaS subscription management, including renewals and cost review
• Contract administration: MSAs, SOWs, NDAs — tracking, execution, and renewal dates
• Internal documentation and process improvement
• Client-facing operational support on select engagements

Qualifications

• 5+ years in a combined bookkeeping/operations/administrative role, ideally at an agency, professional services firm, or small business
• Strong QuickBooks Online proficiency; comfortable with month-end close without supervision
• Working knowledge of multi-state sales tax and economic nexus rules
• Familiarity with California employment law and payroll platforms (Gusto, Rippling, or similar)
• Excellent written communication — you'll be corresponding with clients and state agencies
• Comfort with ambiguity and building process where none exists
• Experience with ecommerce businesses (Shopify, Stripe, Magento) and their reporting quirks
• Exposure to Avalara, TaxJar, or Stripe Tax
• Bookkeeping certification or accounting coursework
• Experience supporting multiple legal entities
