Job summary

MangoTalent seeks a Chief of Staff / Operations Manager for a US-based CX marketing agency that serves e-commerce and DTC brands. You will act as the operational backbone between leadership and the wider team, owning project management and execution of key initiatives with a hands-on, ownership mindset.

You will attend senior leadership meetings, drive cross-functional programs, maintain Notion trackers, and leverage AI tools to optimize workflows.

Qualifications

• 4+ years of experience in operations, project management, or business ops in a fast-paced environment (agency, e-commerce, or similar).
• Proven ability to hold cross-functional teams accountable to timelines without direct authority.
• Strong Notion proficiency - you live in it.
• Active user of AI tools with real examples of how you've applied them.
• Comfortable with Google Sheets or Excel at a functional level.
• Highly organized, flexible, and at ease with shifting priorities.
• High trust and discretion - you'll sit close to leadership and sensitive information.
• Advanced English (written and spoken).

Responsibilities

• Act as the day-to-day execution partner to company leadership, closing the gap between leadership and the wider team.
• Own project management across cross-functional initiatives including CX services, CX optimization, and new productization efforts.
• Shepherd recurring internal processes end-to-end, identify where they break down, and recommend fixes.
• Chase timelines and follow up with staff on deliverables independently.
• Sit in on senior leadership meetings to understand priorities and move them forward.
• Take ownership of stalled or deprioritized projects and drive them to completion.
• Keep Notion trackers and boards accurate as the org's operating system.
• Use AI tools to support workflows and flag automation opportunities.
• Provide light oversight of organic social scheduling and community management as needed.

This position is with a US-based customer experience (CX) marketing agency that partners with established e-commerce and DTC brands to build CX frameworks, retention programs, and brand strategy. The Chief of Staff / Operations Manager will serve as the operational backbone between leadership and the broader team - owning project management, cross-functional follow-through, and execution of key business initiatives. This is a hands-on, go-getter role for someone who takes ownership and sees things through without being asked twice.
