Qualifications

  • Experience in landscape construction, construction management, or related industry.
  • Experience managing office operations, administration, bookkeeping oversight, or business operations.
  • Working understanding of AP/AR, payroll, invoicing, job costing, reconciliations, and financial reporting.
  • Strong organizational and leadership skills.
  • Excellent verbal and written communication skills.
  • Strong customer-service and conflict-resolution skills.
  • Ability to prioritize and manage multiple issues without requiring constant Owner involvement.
  • Comfortable working in both office and outdoor/field environments.
  • Proficient with spreadsheets, scheduling tools, accounting/business systems, and project-management software.
  • Experience with Aspire is preferred; willingness to become highly proficient.

  • Ensure job costing and cost allocations are accurate for projects.
  • Maintain standards for response times, escalation, and customer updates.
  • Lead communications between Owner, office staff, field teams, customers, and vendors.

Bennett Landscape is a growing landscape construction company known for high-quality workmanship and excellent customer service. We specialize in outdoor living spaces, hardscaping, softscaping, and property maintenance. We are seeking a dependable, proactive, and resourceful individual to serve as the Owner’s right-hand person, helping manage the day-to-day operations and ensuring smooth execution across the business.

Job Summary

The Operations Manager is responsible for the day-to-day administrative, financial, customer service, and office operations of Bennett Landscape.

This individual serves as the Owner's primary operational partner, ensuring that the office runs efficiently, financial information is current and accurate, customers receive timely and professional service, and day-to-day issues are resolved without unnecessarily escalating them to the Owner.

The Operations Manager will directly supervise the bookkeeper and administrative/customer service functions and work closely with the General Supervisor and field leadership. A key purpose of the position is to create structure and accountability so the Owner can focus on leadership, customers, and business growth rather than daily administrative issues. This aligns with the previously established objective of moving routine execution away from the Owner and creating a more organized, accountable operation.

Financial Management & Bookkeeping Oversight

The Operations Manager is responsible for ensuring the Company's financial administration is current, accurate, and completed on schedule. The Company's bookkeeper will report to the Operations Manager.

Responsibilities include:
  • Ensure the books of account remain current and properly maintained.
  • Oversee accounts payable and accounts receivable (AP/AR).
  • Ensure vendors are paid accurately and on time while maintaining appropriate cash-management controls.
  • Oversee invoicing and collections and follow up on outstanding receivables.
  • Coordinate and oversee payroll processing.
  • Ensure bank and credit-card reconciliations are completed on schedule.
  • Oversee accurate and timely job costing.
  • Ensure costs, labor, materials, and other expenses are properly assigned to projects.
  • Work with field management to investigate job-cost variances or missing information.
  • Establish a disciplined monthly financial close process.
  • Provide the CEO with timely and accurate financial reporting, including profitability, cash flow, receivables, payables, and other meaningful management information.
  • Work with the Company's accountant, bookkeeper, payroll providers, and other financial professionals as required.

  • Take ownership of the Company's overall customer service function.
  • Ensure customer inquiries, complaints, requests, and concerns are acknowledged and resolved promptly and professionally.
  • Establish standards for response times, follow-up, and escalation.
  • Serve as a senior point of contact when customer issues cannot be resolved at the staff level.
  • Coordinate with the General Supervisor and field teams when customer concerns involve project execution.
  • Ensure customers receive appropriate updates regarding schedules, billing, project status, and outstanding issues.
  • Monitor recurring customer concerns and identify operational improvements that can prevent future problems.
  • Protect and strengthen customer relationships and the Bennett Landscape reputation.
Team Communication & Leadership
  • Create a clear communication bridge between the Owner, office staff, General Supervisor, bookkeeper, field leadership, customers, and vendors.
  • Hold regular office and administrative team meetings.
  • Establish clear responsibilities, deadlines, and accountability.
  • Develop a culture based on professionalism, responsiveness, teamwork, and problem-solving.
  • Address employee issues and conflicts promptly and appropriately.
  • Ensure critical issues reach the Owner early, together with the facts and a recommended course of action.
  • Recruit, onboard, train, evaluate, and develop administrative and customer service personnel as required.
Systems & Operational Controls
  • Become proficient with Aspire or other Company-selected business management software.
  • Ensure the system is effectively used for job costing, scheduling coordination, billing, financial information, reporting, and operational tracking.
  • Eliminate unnecessary spreadsheets, duplicate data entry, and disconnected administrative processes where practical.
  • Establish dashboards and reports that provide management with visibility into financial and operational performance.
  • Continuously evaluate systems and processes for opportunities to improve efficiency and accuracy.
Qualifications
  • Experience in landscape construction, construction management, or a related industry strongly preferred.
  • Experience managing office operations, administration, bookkeeping oversight, or business operations.
  • Working understanding of AP/AR, payroll, invoicing, job costing, reconciliations, and financial reporting.
  • Strong organizational and leadership skills.
  • Excellent verbal and written communication skills.
  • Strong customer-service and conflict-resolution skills.
  • Ability to prioritize and manage multiple issues without requiring constant Owner involvement.
  • Comfortable working in both office and outdoor/field environments.
