Job summary

Richemont in the United States (miami area) seeks an Operations Manager to oversee and optimize daily operations, focusing on efficiency, accuracy, and continuous improvement across order processing, logistics, finance processing, and client support. You will coordinate with IT and internal systems, analyze data to drive performance, and maintain strong bilingual communication in English and Spanish.

Bachelor's in Business Administration preferred; luxury experience is a plus.

Qualifications

  • 3–5 years of experience in operations/administration or similar role.
  • Experience in the luxury sector is advantageous but not required.
  • Strong organizational skills with ability to manage multiple tasks and priorities.
  • Excellent attention to detail and accuracy, especially in data and financial processing.
  • Proficiency with internal systems (order management, CRM, MS Office).
  • Strong written and verbal communication in English and Spanish.

Responsibilities

  • Accurately enter and process customer orders into the system.
  • Process Order Delivery Notes efficiently.
  • Monitor and follow up on orders to ensure timely shipping and delivery, including managing Shipping processes.
  • Manage product allocation based on availability and demand.
  • Conduct finance follow-ups related to orders and accounts, process credits/returns.
  • Handle manual credits and adjustments.
  • Coordinate with concierge services to ensure a seamless customer experience.
  • Address and resolve website requests from end clients and retailers.
  • Research product availability for retailers and end clients.
  • Manage customer feedback platforms as required.
  • Follow up on internal IT tickets and act as liaison for tools like Booster and My Copilot.
  • Utilize data and analytics to monitor performance, identify trends, and inform decisions.

Job description

The Operations Manager is responsible for overseeing and optimizing the day-to-day operational activities of the organization. This role ensures efficiency, productivity, and quality across various processes, contributing to the achievement of business objectives. The Operations Manager will implement best practices and drive continuous improvement initiatives to enhance overall performance.

Key Responsibilities
  • Accurately enter and process customer orders into the system.
  • Process Order Delivery Notes efficiently.
  • Monitor and follow up on orders to ensure timely shipping and delivery, including managing Shipping processes.
  • Manage product allocation based on availability and demand.
Financial & Credit Processing
  • Conduct finance follow-ups related to orders and accounts.
  • Process customer credits and returns in accordance with company policies.
  • Handle manual credits, including incentives and other non-product related adjustments.
Customer & Client Support
  • Manage communications with concierge services to ensure seamless customer experience.
  • Address and resolve website requests received directly from end clients.
  • Conduct research on product availability, for both retailers and end clients.
  • Manage customer feedback platforms as required.
Internal Systems & IT Liaison
  • Follow up on tasks and issues related to internal tools.
  • Act as a liaison for IT-related tickets, including issues with Booster, My Copilot, and other systems, ensuring timely resolution.
Reporting & Data Management
  • Utilize data and analytics to monitor performance, identify trends, and make informed decisions.
Qualifications
  • 3 to 5 years of experience. Experience within the luxury sector is highly advantageous, however still open to individuals from comparable industries.
  • Proven experience in an operation, administrative, or similar role.
  • Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
  • Excellent attention to detail and accuracy, particularly in data entry and financial processing.
  • Proficiency in using various software and internal systems (e.g., order management systems, CRM, Microsoft Office).
  • Strong communication skills, both written and verbal, for interacting with internal teams, clients, and external partners.
  • Fluency in English and Spanish.
  • Problem-solving abilities and a proactive approach to identifying and resolving operational challenges.
  • Ability to work independently and as part of a team in a fast-paced environment.
