Job description

This candidate can sit in any of our office locations, preferred locations are Bethesda MD, Hunt Valley, MD, Red Bank, NJ, Metropark, NJ, or Westport CT.

The Operations Manager is a senior member of the Operations team responsible for leading the firm's Client Associate (CA) team and serving as the firm's resident expert on Wells Fargo Advisors Financial Network (FiNet) platforms, policies, and procedures. This role works cross-functionally with Operations, Compliance, and Onboarding/Transitions to ensure consistent, scalable, and compliant service delivery across all the firm's offices.

The ideal candidate combines deep operational knowledge of the Wells Fargo / FiNet ecosystem with proven people leadership and thrives on building repeatable processes that allow a fast-growing firm to scale without sacrificing service quality. This position reports directly to the Chief Operating Officer.

Responsibilities
  • Directly lead, coach, and develop the firm's Client Associate team across all offices, including goal setting, performance feedback, and career development.
  • Plan, organize, and host the monthly CA team calls, setting agendas, sourcing topics, sharing platform updates, and having consistency in how work gets done across offices.
  • Own CA onboarding and training, including new-hire ramp plans, the CA buddy program, and ongoing skill development on firm systems and FiNet platforms.
  • Establish coverage plans and workload balancing across teams and offices, including backup support during absences, transitions, and peak periods.
  • Define and track CA team service standards and performance metrics (e.g., turnaround times, NIGO rates, client response times).
  • Partner with HR on CA hiring, performance reviews, and any personnel matters.
  • Serve as the firm's go-to expert on Wells Fargo FiNet systems, policies, forms, and procedures, including account opening and maintenance, money movement, and operational workflows.
  • Administer higher-level system permissions and access management, including MAC (Move/Add/Change) requests, entitlements, and access reviews for new hires, role changes, and departures.
  • Act as the primary escalation point for complex or stuck operational items, working directly with FiNet service teams and home-office contacts to drive resolution.
  • Monitor FiNet platform changes, policy updates, and new capabilities; translate them into clear guidance and training for advisors and staff.
  • Maintain the firm's operational knowledge base of how-to guides, checklists, and standard operating procedures for FiNet processes.
Cross-Functional Partnership
  • Operations: Partner with the COO and operations leadership on process improvement, capacity planning, technology adoption, and firm-wide initiatives.
  • Compliance: Work closely with the Compliance team to ensure operational processes meet regulatory and firm requirements; support audits, remediation items, and supervisory workflows.
  • Onboarding/Transitions: Support advisor recruiting and practice transitions by coordinating account transfers, system access, CA staffing and training, and operational readiness for incoming teams; serve as a key resource during transition weekends and ramp periods.
Process & Continuous Improvement
  • Identify recurring pain points and bottlenecks; design and implement scalable solutions and documented workflows.
  • Leverage firm technology (CRM, project management, and workflow tools) to standardize and automate operational processes where possible.
  • Contribute to business continuity planning and operational risk mitigation.
Qualifications
Required
  • 5+ years of operations experience in wealth management, with at least 2 years in a supervisory or team-lead capacity.
  • Hands-on experience with Wells Fargo Advisors / FiNet platforms, systems, and operational procedures (or equivalent deep experience at a comparable broker-dealer with the ability to ramp quickly).
  • Demonstrated ability to lead, train, and develop client service professionals across multiple locations.
  • Strong working knowledge of brokerage operations: account opening/maintenance, transfers (ACAT), money movement, and document requirements.
  • Excellent organizational and communication skills, with the ability to translate complex platform procedures into clear, usable guidance.
  • High attention to detail and sound judgment when handling permissions, entitlements, and sensitive access requests.
Preferred
  • FINRA Series 7, 66 (or 63/65), 9/10, and/or 24 licenses, or willingness to obtain.
  • Experience supporting advisor transitions or practice acquisitions.
  • Familiarity with CRM platforms (e.g., HubSpot or Salesforce), project management tools (e.g., Monday.com), and HRIS systems.
  • Experience in a multi-office, fast-growth independent wealth management environment.
