Operations Manager Scheduling & Court Reporting Logistics

Role Overview:

As the Operations Manager, you will lead and oversee the day-to-day operations of our scheduling and court reporting logistics functions, ensuring seamless execution, efficiency, and quality service delivery. This role requires a strategic mindset, strong leadership, and the ability to optimize processes while driving continuous improvements. You will play a key role in operational planning, team development, and resource management, ensuring that our court reporting and scheduling services meet the evolving needs of our clients and business objectives.

Key Responsibilities:

Operational Leadership & Process Optimization

  1. Oversee all scheduling, logistics, and resource allocation for court reporters, videographers, and other legal support personnel.
  2. Develop and implement operational strategies to improve scheduling efficiency, reduce redundancies, and enhance service quality.
  3. Maintain quality control measures, ensuring accuracy and compliance with legal standards.
  4. Collaborate cross-functionally with leadership, sales, and client services teams to align operational strategies with business goals.
  5. Identify and implement process improvements to enhance workflow efficiency, reduce scheduling conflicts, and optimize resource utilization.
  6. Leverage technology and automation to streamline scheduling and logistics processes.

Team Leadership & Development

  1. Manage, mentor, and develop a team responsible for scheduling, logistics, and court reporter coordination.
  2. Establish performance metrics and KPIs to track and improve team effectiveness.
  3. Provide training programs for new and existing employees to ensure best practices in scheduling and customer service.
  4. Conduct regular performance evaluations, provide feedback, and implement professional development initiatives.

Client & Vendor Relations

  1. Act as the primary operational contact for key clients, ensuring exceptional service delivery and problem resolution.
  2. Foster and maintain strong relationships with court reporters, videographers, and other legal service professionals to ensure reliable coverage and service quality.
  3. Address escalated client concerns related to scheduling, logistics, and operational processes in a professional and timely manner.

Recruitment & Talent Management

  1. Oversee the recruitment, onboarding, and management of court reporters, videographers, and legal service providers nationwide.
  2. Partner with educational institutions and industry organizations to build a pipeline of future talent.
  3. Collaborate with marketing and HR teams to develop outreach strategies for attracting and retaining top industry talent.

Strategic Growth & Business Expansion

  1. Support strategic growth initiatives, including regional and expansion efforts.
  2. Research market trends and operational best practices to enhance service offerings and scalability.
  3. Evaluate potential risks or challenges in scheduling and legal documentation processes, implementing solutions to mitigate business disruptions.
  4. Contribute to the development of operational plans and resource forecasting to support company growth.

Qualifications:

  1. Bachelor's degree in Business Administration, Operations Management, or relevant work experience.
  2. 5+ years of experience in operations management, logistics, or scheduling, preferably within the legal or professional services industry.
  3. Proven ability to lead teams, improve processes, and drive operational efficiencies.
  4. Strong problem-solving and critical-thinking skills with the ability to manage complex scheduling and logistical challenges.
  5. Exceptional customer service and relationship management skills.
  6. Experience in workforce planning, recruitment, and vendor management.
  7. Proficiency in Microsoft Office Suite and familiarity with scheduling and logistics software.
