Job summary

TotalCare Walk-In Clinic Inc. is seeking an Operations Lead to support day-to-day operations across six clinics in Southern California.

You will work closely with the Managing Director, Chief of Staff, and Clinic Leads to optimize schedules, staffing, and processes to improve access to care for underserved communities. This role offers a fast-paced, supportive environment with opportunities to learn operations at both a deep and broad level.

Qualifications

• Bachelor's degree with GPA 3.7 or higher.
• Interest in pursuing a career in business operations.
• Strong attention to detail and organization.
• Ability to manage multiple projects and priorities.
• 1–2 years of leadership or customer service experience.
• Familiarity with Google Sheets.

Responsibilities

• Monitor daily patient schedules across 6 clinics and balance load.
• Track call center performance: volumes, drop rates, wait times.
• Review requests in the clinical inbox and ensure timely action.
• Follow up on inventory or facility issues with vendors.
• Conduct periodic in-person clinic audits for quality.
• Assist HR tasks like payroll and performance reviews.
• Support new operational initiatives with the Chief of Staff.

We are looking for an Operations Lead to assist with day-to-day operations across all our clinics. This is an essential role at one of the top medical groups in Southern California with significant growth potential as we continue to expand. You will work closely with the Managing Director, Chief of Staff, and the Clinic Leads to support our providers and staff.

Responsibilities

• Monitor daily patient schedules across all of our clinics (6 locations) and help distribute patient load across clinics evenly
• Monitor call center performance including overall volumes, drop rates, and wait times
• Monitor clinical inbox and ensure that all requests (e.g. refills, authorization requests) are being reviewed promptly
• Track any outstanding inventory or facility issues and follow up with vendors for prompt resolution
• Conduct in-person audits of each physical clinic periodically to ensure quality
• Assist with HR tasks as needed such as payroll, performance reviews, and event planning
• Work closely with the Chief of Staff to execute new initiatives to meet operational performance goals
