Job Description

View My Space is hiring an Operations Lead to take ownership of day‑to‑day operational execution and help structure the next phase of company growth as we expand into other market locations in the US.

This is a hands‑on leadership role for someone who is highly organized, detail‑oriented, and proactive with strong analytical thinking skills. You will become the person who understands what is happening across the business at any given time and ensures work is delivered smoothly across teams, schedules, and clients.

This role requires strong follow‑through, the ability to make decisions quickly, and comfort operating in a fast‑moving environment with evolving priorities.

This position will work closely with ownership and directly oversee key operational functions across the business. The ideal candidate will excel at understanding core functionalities while further developing and enforcing administrative systems and efficiencies.

Organizational Structure and Reporting

This role will directly manage and support two key positions:

Operations Manager

Responsible for administrative operations, project scheduling, quoting, client communication, and internal workflows.

Responsible for field team coordination and training, project deliverables, equipment management, and field troubleshooting.

Your job is to lead the people and systems that make this operation run smoothly. You will support both roles, improve workflows, solve bottlenecks, and ensure projects move cleanly from scheduling to final delivery.

What You’ll Do
Operational Leadership
  • Manage and support the Operations Manager and Team Coordinator roles
  • Set priorities, maintain accountability, and ensure follow‑through across teams
  • Maintain a clear pulse on job status, scheduling, field capacity, and deliverables
  • Support hiring, onboarding, and performance expectations as the team scales
Systems and Process Improvement
  • Identify operational breakdowns and implement solutions to reduce errors and reworkStrengthen scheduling systems, quoting processes, internal documentation, and job trackingImprove workflows across project intake, execution, editing, and client deliveryBuild scalable administrative systems without overcomplicating them
    Client and Delivery Support
    • Oversee daily operations across scheduling logistics, quoting, and client coordination
    • Coordinate with clients and internal stakeholders as needed to keep projects on trackBecome knowledgeable with architectural workflows & digital building information systems
    • Support leadership in improving service consistency and client satisfaction

    Working at View My Space

    We’re a growing company with a team of ten and looking to expand into other US locations. Our office is located in Wicker Park, Chicago. The workspace is architecturally engaging and built for collaboration, with snacks and beverages available throughout the day.

    The environment is dynamic, with technicians coming and going daily and a core office team working in‑person Monday through Friday. We maintain a professional standard while keeping the culture relaxed and team‑oriented. Well‑behaved pets are welcome.

    We are located about a quarter mile from the Western Ave (North) Blue Line station and near the 606 trail. Street parking is free and often easily accessible in the area.

    Requirements
    • 3+ years of experience overseeing operations, logistics, field coordination, or project‑based service delivery
    • 2+ years of experience managing people and coordinating tasks across multiple moving parts
    • Bachelor’s degree or equivalent professional/military experience (exceptions considered for strong candidates)
    • Strong written and verbal communication skills
    • Strong critical thinking and decision‑making ability
    • Comfortable learning and adapting to systems‑based software tools
    • Intermediate Excel proficiency or higher
    • Strong organizational skills with a high attention to detail
    • Willingness to work in‑office Monday through Friday, with core hours generally between 8:00 AM and 6:00 PM depending on operational needs
    • No felony criminal convictions or misdemeanors related to theft, dishonesty, or violence
    Preferred Qualifications
    • Experience working architecture, engineering or construction and/or BIM workflows strongly preferred
    • Experience in logistics supporting multi‑city or traveling teams remotely
    • Experience improving workflows, SOPs, or internal systems in a growing business
    • Familiarity with scheduling software, CRMs, or project tracking tools
    • Familiarity with reality capture tools (Matterport, LiDAR scanning, drones)
    • Experience managing both field operations and office coordination
    • Entrepreneurial mindset or experience helping scale a small business
    • Familiarity with automation tools such as Zapier or API‑based workflow integrations
