Job summary

Liquid Instruments in Del Mar, CA is seeking an Operations Associate to keep daily operations running smoothly and to build scalable systems for growth. You will own core fulfillment tasks, manage inventory, and support order processing, with a focus on automation and efficiency.

You will implement HubSpot workflows, automate routine tasks with Zapier, and explore AI-driven improvements while documenting processes for the wider team. This on-site role reports to the Operations Lead.

Qualifications

• 1-3+ years of operations experience in fulfillment, inventory, or supply chain.
• Experience with an inventory management or ERP system.
• Working knowledge of a CRM, ideally HubSpot.
• Practical experience using AI tools to work more efficiently.
• Professional written and verbal communication skills with customers, vendors, and internal teams.
• Strong attention to detail; accurate orders, shipping docs, and records are critical.
• Bachelor’s degree in Business Administration, Information Systems, Supply Chain, or a related field.

Responsibilities

• Fulfill domestic and international orders, including shipping confirmations.
• Maintain accurate inventory records and perform monthly counts.
• Acknowledge and respond to priority customer orders and inquiries.
• Manage software activation for customer, loaner, demo, and trial units and track movements.
• Maintain records in HubSpot for Sales and Finance reporting.
• Respond to internal operations requests and finance inquiries.
• Support international shipping and export documentation as needed.
• Build and maintain HubSpot properties, workflows, and reports.
• Identify manual tasks and automate using Zapier or similar tools.
• Explore practical AI uses to improve workflows.
• Document processes in Confluence for team-wide knowledge sharing.
