Qualifications

  • Bachelor’s degree in business administration, nonprofit management, or related field, or demonstrated equivalent experience.
  • At least five years’ experience in financial management and managing budgets.
  • Experience monitoring expenditures and ensuring budgetary compliance with contract policies.
  • Knowledge of state and federal tax filing requirements in collaboration with contract accountants.
  • Experience generating reports about fund development data.
  • Excellent written and oral communication skills.
  • Ability to use accounting and project management software for financial data analysis and reporting.
  • Ability to track status of bank, HR, liability insurance, health insurance, profit-sharing and vendor/grantee partners.

OPERATIONS DIRECTOR POSITION
Our Story:

For over 25 years, we have provided workforce development assistance to Seattle-Tacoma International Airport (SEA) employers, jobseekers, and workers. Our career navigation staff help people develop resumes and apply for jobs. Our staff work in partnership with college instructors to help participants improve their academic skills, apply for tuition benefits, and make career plans. Our hiring events offer jobseekers and workers opportunities to participate in the dynamic airport environment. Port Jobs plays a vital role in supporting SEA hiring, career advancement, and retention.

We are currently seeking to fill the role of Operations Director

The role offers the opportunity to:

  • collaborate with the Executive Director and key personnel and board of directors to plan and track the budget, communicate, and make decisions about procurement and resource allocation.
  • be part of a fast-moving environment that includes overseeing daily business and financial reporting, procurement and grant development.
  • lead the development and monitoring of fiscal policies, and preparation of business and financial reports, including audit preparation and response, in collaboration with Port Jobs’ contracted accounting firm.
  • contribute to the sustainability of Port Jobs small but mission-driven team that is dedicated to supporting SEA workers and jobseekers by ensuring organizational compliance to human resources, state, federal and funder reporting requirements.
Operations Director Position Description - Summary Qualifications
Fiscal Oversight (40%)
  • Oversee financial system, including payroll processing, accounts payable and accounts receivable.
  • Manage annual internal financial reviews/audits, and all externally required reviews/audits.
  • Collaborate with the Executive Director and other key personnel and board of directors to plan and track the budget and ensure fiscal reporting requirements are met.
  • Communicate in partnership with the Executive Director, budget assumptions and decisions, and results of audits and other financial information to the board of directors.
  • Develop annual agency budget, provide budget reviews for Executive Director and Board of Directors. Responsible for tracking costs and income.
Operational Leadership (35%)
  • Manage day-to-day operations including facilities, IT & telecommunications.
  • Develop and implement operational and fiscal policies and procedures to support organizational effectiveness.
  • Work in partnership with the Executive Director to identify and recommend competitive health benefit packages and providers for banking, insurance, financial services, and assorted vendor services.
  • Collaborate with the Executive Director to make data-driven decisions about resource allocation.
  • Work with Executive Director and other key staff to track staffing requirements; participate in hiring process – including reviewing resumes, coordinating, and conducting interviews – to ensure effective operations.
Business Activities (25%)
  • Oversee daily business activities.
  • Manage procurement and resource allocation.
  • Consult with financial contractors, vendors, bankers, insurance providers, legal advisors, and other consultants as needed. For example, manage all Washington State Employment Security Department communication regarding former employees and experience rating which determines Port Jobs’ unemployment insurance rate.
  • Maintain updated information on human resources, state, and federal tax reporting requirements.
  • Attend grantor-required conferences and training necessary to stay current with evolving grantee reporting requirements and changes.
Qualifications
  • Bachelor’s degree in business administration, nonprofit management, or a related field, or demonstrated equivalent experience.
  • At least five years’ experience in financial management and managing budgets.
  • Experience monitoring expenditures and ensuring compliance with budgetary requirements and contract policies.
  • Knowledge and ability to ensure adherence to state and federal tax filing requirements in collaboration with contract accountant.
  • Experience generating reports about fund development data.
  • Excellent written and oral communication skills.
  • Ability to use accounting and project management software for financial data analysis and accurate report generation.
  • Ability to track the status of bank, human resources, liability insurance, health insurance, profit-sharing, vendor and other grantor and grantee partners, including tracking timelines for report submittals and contract revisions and renewals.
Preferred Qualifications
  • Managerial experience in a diverse work environment.
  • Experience working with financial and accounting reporting under time-sensitive deadlines.
  • Experience tracking contractual goals with strong budget development and oversight skills.
  • Experience communicating with auditors on compliance issues.
  • Demonstrated awareness and sensitivity to the various socio-economic and cultural characteristics of staff and community-based partners.

Port Jobs conducts background checks appropriate to the position’s contractual requirements, which include fiscal responsibilities and the ability to pass a secure badge test at SEA.

Salary And Benefits

This is a full-time position, with a salary starting at $125,000 DOE and a generous benefit package including a healthy retirement benefit. The final salary offer will be commensurate with the selected candidate’s qualifications and experience. Port Jobs offers a generous leave and benefits package including 11 company holidays, 2 personal holidays, and sick and vacation leave accruing monthly starting immediately. Port Jobs provide excellent health insurance, as well as dental, vision, ADD/LDD, and employee assistance plans. Port Jobs provides a Profit-Sharing plan that is 100% employer paid, eight percent on top of salary annually, equivalent to an employer-paid 401k for nonprofit employees; two years’ vesting is required, and eligibility starts after six months. An optional 403b plan and Flexible Spending Account option for health and dependent care expenses are also available.
