Job summary

AEG Presents is seeking an Operations Coordinator to organize venue events and support event management by communicating directives and serving as a liaison among third parties, show staff, and the venue to ensure successful execution of events and contracts.

The role involves drafting and submitting quotes and contracts, managing exhibitor selection, coordinating day-of-show setup, and working with accounting on settlements.

Qualifications

  • High School Diploma or equivalency; BA/BS preferred.
  • 2-4 years of related work experience.
  • Experience with venue operations.
  • Capable of working in a fast-paced environment.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Excellent written and verbal communication; strong interpersonal skills.
  • Able to work long irregular hours, including nights, weekends and holidays.

Responsibilities

  • Create operations notes detailing setup requirements, deadlines, and expectations.

  • Create road packs and vendor contracts; coordinate with venue staff for setup.
  • Build and maintain relationships with third-party vendors and exhibitors.
  • Assist General Manager with event management communications.
  • Support special projects and events as assigned.

Job Summary

The Operations Coordinator is responsible for the organization of venue events. The incumbent assists event management communicate directives and act as liaison between third parties, show staff and the venue to successfully execute events and contract agreements.

Essential Functions
  • Collect quotes, draft contracts and submit to vendors, make edits as needed. Ensure that contracts are executed appropriately and that all staff, equipment and space requirements are met.
  • Oversee the selection process for event exhibitors, including application submission, review and selection. Manage the planning and work with site crew to complete day of show set up.
  • Work with Accounting department for show settlements and wire transfers.
  • Create operations notes for events detailing all set-up requirements including deadlines and expectations, and follow-up on completion.
  • Distribute fully executed artist contracts to talent agents, and supervisors.
  • Create road packs and/or vendor contracts for shows, festivals and events. Coordinate with venue staff to execute set up.
  • Build and maintain positive working relationships with third party vendors and exhibitors.
  • Assist General Manager with event management communications.
  • Assist with special projects and events as assigned.
Required Qualifications
  • High School Diploma or its equivalency (BA/BS Degree Preferred)
  • 2-4 years of related work experience
  • Experience with venue operations
  • Capable of working in a fast-paced environment
  • Proficiency in Microsoft Office programs (Word, Excel, Outlook, PowerPoint) with the ability to learn required business systems
  • Must have excellent written and verbal communication skills
  • Strong interpersonal skills with the ability to establish and maintain effective working relationships
  • Must be able to work long irregular hours for an extended period of time as dictated by events and schedule, including nights, weekends and holidays

Payscale: $28.69-$33.10

Bonus: This position is Not eligible for a bonus under the current bonus plan requirements.

Benefits: Part-time: This position may be eligible for benefits (ACA qualification).
