Job summary

Encore is seeking an Operations Coordinator, Exhibits to join our Exhibit Operations team. You will process work orders, manage inbound and outbound exhibit assets, and assist in install and dismantle activities across event venues and warehouses.

You will collaborate with cross‑functional teams, inspect assets for damage, maintain the inventory database, and ensure safety and quality while traveling up to 25% as needed. Strong communication and basic CAD/read drawings skills are helpful.

Qualifications

  • High school diploma or GED required.
  • 3+ years of experience.
  • Basic knowledge of Microsoft Word and Excel.
  • Experience with ERM environments and work-order programs.
  • Experience in exhibition systems preferred.
  • Able to read architectural CAD drawings.

Responsibilities

  • Process and implement work orders for exhibits operations and assist in warehouse inventory.
  • Collaborate with cross-functional teams on scope revisions and change orders.
  • Manage inbounded exhibits assets.
  • Inspect assets for damage and operability.
  • Document damages and support refurb process.
  • Communicate changes to on-site teams and report scope changes.
  • Maintain exhibit assets and update inventory database.
  • Assist in install/dismantle of exhibit elements.
  • Adhere to safety guidelines and SOPs.
  • Maintain clean, safe workspace.
  • Travel as required.

Job description

Position Overview

As a member of the Exhibit Operations Teams, the Operations Coordinator, Exhibits will work collaboratively to process work orders related to outbound and inbounding of exhibit properties, process service requests from other departments, and assist in the install and dismantle of exhibits when needed. This position reports to the Operations Manager, Inhouse Exhibits.

Key Job Responsibilities
  • Process and implement work orders for exhibits operations, respond to inquiries on exhibits assets, and assist in warehouse exhibit inventory and loading/unloading operations.
  • Collaborate with cross‑functional teams to administer any last‑minute revisions and change orders on scope of work.
  • Process and effectively manage inbounded exhibits assets.
  • Inspect assets thoroughly for damages and functional operability of elements.
  • Document and report any damages on elements while ensuring successful completion of the refurb process.
  • Communicate and ensure on‑site teams are aware of any last‑minute changes to plans and report scope of work changes to direct supervisor.
  • Support the maintenance of exhibit assets and assist in updating the exhibit assets inventory database.
  • Assist in the install and dismantle of exhibit elements and, if necessary, support the onsite teams.
  • Adhere to all Quality Control procedures and abide by company, state, and federal safety guidelines.
  • Adhere to company’s mission, core values, and Standard Operating Procedures.
  • Maintain advanced communication and interpersonal skills, practicing and maintaining Hargrove’s high customer service methods and focus on quality.
  • Perform other duties as assigned related to Exhibit Operations.
  • Maintain a safe working environment by keeping a clean, organized workspace.
Job Qualifications
  • High School Diploma or GED required
  • 3+ years of experience
  • Beginners’ knowledge of Microsoft Word and Excel
  • Preferred experience in an ERM environment and work‑order program
  • Preferred experience from the ready‑to‑assemble sector or kitchen cabinetry production process or housing market renovations
  • Preferred hands‑on experience in exhibition systems
  • Read and interpret architectural drawings, CAD detailed drawings, and design renderings
  • Communicate clearly both verbally and through computers, apps, and relevant software
  • Experience working in a collaborative team environment
  • Ability to travel up to 25%

Work Environment

Work is performed at event venues as well as in a warehouse environment. Team members must adhere to appearance guidelines as defined by Hargrove when in the warehouse and when traveling to individual venues or representations of venues in that city or area. In the warehouse, work will be completed in an environment with exposure to outdoor temperatures, dirt, sand, and/or dust. Working conditions will vary between moderately quiet to noisy volumes. Team members may use high‑end audio‑visual equipment and electrical components. Working times may include irregular hours and on‑call status, including days, evenings, weekends, and holidays.

Compensation & Benefits

Hourly Pay Range: $22.71 – $29.53

The compensation offered for this role is determined based on the qualifications outlined in the job posting for the specified location. Final compensation is based on a number of factors including location, travel, relevant work experience, or particular skills and expertise. Some positions may also be eligible for other compensation such as potential overtime, bonuses, or incentives.
