Operations Coordinator

We are seeking a proactive and detail-oriented Operations Coordinator to take ownership of office management and administrative operations at Journal Technologies. This role is ideal for someone who thrives in a fast-paced environment, takes initiative, and enjoys wearing many hats—including managing the day-to-day needs of the office, supporting senior leaders, and serving as a welcoming presence for visitors and staff.

Key Responsibilities

Office Management

  • Oversee all aspects of the physical office, including vendor relationships, office supply inventory, mail handling, and space organization.
  • Own key office functions such as ordering supplies, maintaining cleanliness, and overseeing shared spaces (kitchen, meeting rooms, etc.).
  • Coordinate and support company events, meetings, and celebrations in-office (catering, supplies, logistics).
  • Ensure compliance with office safety and security protocols.

Executive Support

  • Provide high-level administrative assistance to members of the senior leadership team, including calendar management, travel planning, and expense reports.
  • Prepare meeting materials, take notes during executive meetings, and follow up on action items.
  • Draft and edit internal communications and other materials on behalf of executives.

Reception and Front Office

  • Greet guests and clients warmly and professionally.
  • Answer and route incoming calls and emails, ensuring inquiries are handled efficiently.
  • Manage visitor check-ins and security protocols.

Qualifications/Capabilities

  • 1+ years of executive-level administrative support experience, ideally in the technology sector.
  • Highly organized and with outstanding attention to detail; a proven ability to keep the urgent and important in check.
  • Excellent communication and interpersonal skills; working well with all levels of internal management and staff to get things done and help hold people accountable.
  • A sense of humor, and understanding people and their overarching motivations will be assets.
  • Superb writing and editing skills to create high-quality, professional written communications.
  • Proven ability to work with minimal guidance to figure out approaches to solve problems and achieve outcomes.
  • Comfort with technology tools such as Microsoft Office, Teams and Slack; and a willingness to find, evaluate and implement new productivity software.
  • Capability to implement and abide by Knowledge Management standards and methodologies.

Preferred Qualifications

  • Experience in a hybrid or tech office environment.
  • Event planning or office move coordination experience.
  • Familiarity with tools like Slack, DocuSign, and Confluence.
