Ontario Trillium Foundation seeks an Operations Coordinator to manage front-end operations and ERP-driven processes. You will schedule production, coordinate with buyers and customer service, and ensure accurate sales orders while maintaining high service levels.
You will support continuous improvement, monitor KPIs, and act as a primary contact for customers on job status, ship dates, and material details. The role combines office work with occasional factory floor engagement.
The Operations Coordinator plays a pivotal role in managing front end operations and infrastructure to allow optimal factory performance. This position is responsible for ensuring accurate completion of essential daily tasks, including sales order entry, customer and supplier communication, production scheduling, and supply chain coordination. Furthermore, the Coordinator ensures operational continuity by making proactive decisions that safeguard production efficiency, customer service standards, and seamless order workflows.
The essential functions include, but are not limited to the following:
Production Scheduling Coordination: Coordinate the scheduling and communication of production activities to help meet deadlines and maintain workflow efficiency.
Manufacturing Process Coordination: Assist in building individual job specs, including item BOM, production operations, and accuracy of production details.
Supply Chain Coordination: Monitor supply chain activities, including tracking orders and flagging cost, quality, or reliability concerns.
Sales Order Entry: Ensure accurate sales orders and timeliness.
Customer Communication: Act as a point of contact for customers on open job status, ship dates, material information, and general job inquiries.
Software Support: Assist with the upkeep and day-to-day use of the ERP and production software.
Team Coordination: Coordinate with the Buyer, Customer Service Manager, and Pre-Press Assistant to keep front-end operations running smoothly.
Coverage & Ownership: Take ownership of daily operational activities, respond to urgent customer or production issues, and make timely decisions to keep operations on track.
Continuous Improvement: Track basic KPIs and flag process issues or improvement opportunities.
High school diploma or GED with relevant experience; college degree in business, supply chain, or a related field preferred.
Working knowledge of organizational workflow and standard operating procedures.
Ability to work effectively with a wide range of constituencies in a diverse community;bilingual (English/Spanish) a plus.
Strong organizational skills with the ability to prioritize tasks and manage multiple priorities.
Comfortable stepping into a lead or point-of-contact role when needed.
Excellent interpersonal, verbal, and written communication skills.
Proficient in Google Apps and ERP systems, with strong general computer proficiency.
Experience in the printing or flexible packaging industries is a plus.
