Role and Responsibilities:

We seek a proactive, detail-oriented Assistant to the Regional Director for our Contract Services team. This remote position provides administrative support to ensure smooth operations.

  • Manage administrative tasks independently for the Director and Regional Managers.
  • Monitor project progress and follow-up.
  • Maintain confidential files, correspondence, and records.
  • Serve as liaison among Director, Managers, clients, vendors, and staff.
  • Coordinate projects between headquarters and regional sites.
  • Assist with recruitment, focusing on AbilityOne eligible adults with disabilities.
  • Support security clearance processes for new hires.
  • Prepare and submit monthly performance reports.
  • Review contract budgets and manage submittals.
  • Lead and support special projects and events.
  • Coordinate meetings, conferences, travel arrangements.
  • Collaborate with colleagues and stakeholders.
  • Ensure compliance with safety and environmental regulations.
  • Follow safety policies, report incidents, and participate in safety training.

Education Requirements:

  • High school diploma and/or GED.

Qualifications:

  • Ability to travel up to 50% (Required)
  • Experience in administrative support or executive assistance.
  • Strong organizational skills, multitasking, prioritization.
  • Excellent communication skills.
  • Proficiency in Microsoft Office Suite.
  • Maintain confidentiality and handle sensitive info.
  • Work under pressure and meet deadlines.

Preferred Skills:

  • Experience with AbilityOne programs, contract management, budgeting, CRM tools.
  • Event planning, security compliance knowledge.
  • Independent and remote team work skills.

Physical & Environmental Demands:

  • Primarily remote, with occasional in-person meetings.
  • Extended sitting, typing, use of office equipment.
  • Reliable internet and quiet workspace required.
  • Travel as needed, lift/carry up to 25 lbs.
