Job summary

The Ops Assistant - Stan/Eval (535 AS) supports PACAF Aviation Squadron Administrative Support for the US Air Force. You will maintain EFB procedures, track flying hours, qualifications and evaluations, and coordinate training, scheduling, and readiness reporting.

Ideal candidates have 1–2 years of related experience, a Secret clearance, US citizenship, and the ability to travel. Proficiency with scheduling software and MS Office, strong communication, and attention to detail are required.

Operations Assistant-Standardization/ Evaluation

Summary

The Ops Assistant - Stan / Eval (535 AS) w ill support the PACAF Aviation Squadron Administrative Support for the US Air Force.

Responsibilities
Essential Job Functions (Primary)
  • Update and maintain FLIP/EFB procedures, systems and databases IAW prevailing AFIs governing EFB usage (ex. ACCI 11-270).
  • Update systems used to track flying hours, qualifications, and evaluations (such as service-specific training management systems).
  • Assist in EFB issues.
  • Identify , address, and elevate, as necessary, EFB requirements and concerns to leadership and the MAJCOM EFB Program Manager.
  • Serve as the Wing EFB system administrator, ensuring devices are configured, issued, tracked, updated, and maintained as required by this instruction. May also serve as the Wing EFB Mobile Device Management (MDM) administrator.
  • Assist the Technical Order Distribution Officers (TODO) to provide aircrews with current electronic flight publications and guidance on approved methods to keep all required publications up to date on the EFB in accordance with this instruction.
  • Provide the MAJCOM EFB Program Manager with feedback on operational assessments and development of EFB solutions.
  • Assist with establishing an EFB Program Manager organizational email box.
  • Assist enforcement of standardization and evaluation policy applicable to the EFB program, including currency of required flight publications.
  • Ensure Stan/Eval files comply with applicable regulations and directives.
  • Track qualifications, certifications, check rides, and recurring evaluations.
  • Maintain electronic and paper records for pilots and aircrew.
  • Coordinate flight evaluations, simulator sessions, and written examinations.
  • Ensure personnel complete required evaluations before qualification expirations.
  • Keep track of who is current in required missions, aircraft , and procedures.
  • Notify leadership of upcoming expirations or deficiencies.
  • Compile monthly or quarterly readiness reports.
  • Track trends in evaluations, training completion, and flight proficiency .
  • Organize documentation for higher headquarters inspections.
  • Manage publications to k eep operating instructions, checklists, and regulations current.
  • Distribute updates to aircrew members.
  • Work with instructor pilots, evaluator pilots, enlisted aviators, and operations personnel to schedule and document training.
  • Daily duty involves: Reviewing which pilots have evaluations due within the next 30 days.
  • Updating qualification records after completing flights.
  • Preparing a readiness briefing for the squadron commander.
  • Auditing Stan/Eval files to ensure they're ready for inspection.
  • Perform other duties as needed.
Secondary Key Responsibilities:
Training
  • Shall keep track when crew members will be on leave, temporary duty, have scheduled medical appointments or other scheduling commitments.
  • Shall track daily flight/ground/academic training requirements and accomplishments to facilitate accurate flight scheduling as directed by the operations officer.
  • Shall assist the DO in building the unit Annual Flying Hour Program.
  • Shall coordinate with training officer to review and update student/permanent party records, folders and grade books per the applicable AFIs: AFI 11- 202V2 and AFI 11-2MDS-V2 as well as associated MAJCOM/Installation supplements, and locally developed guidance.
  • Shall notify crew members , scheduling, and unit leadership of upcoming and overdue testing, evaluation, and training requirements via e-mail, telephone or in person.
  • Shall perform testing administrator duties/function for the unit.
  • Conduct monthly reviews of those aircrews entering into the first month of evaluation eligibility period.
Flight Scheduling
  • Shall build long-and short-range flight schedules to ensure full coverage of all aircrew, instructor, evaluator, support personnel, and supervisor positions. Coordinate with senior squadron leadership on a daily and weekly basis.
  • Contractor will de-conflict crewmember schedules and work with flight leadership to ensure crews are available to meet assigned sortie taskings.
  • Facilitate last-minute schedule changes to ensure full coverage by working with the current mission commander/operations supervisor (or equivalent) and flight responsible for the shift that is not fully manned .
  • Shall obtain aircraft and equipment availability data from MX and schedule crewmembers for training, exercises, simulators, and operations, as required .
  • Shall publish/post scheduling data for unit long-/short-range ground/academic, flying, and simulator training event schedules on PEX/GTIMS/GDSS II, or other computer database systems.
  • Shall determine flight, ground, and simulator schedule requirements for upgrade, initial qualification, requalification, transition, currency, and continuation training based on syllabus requirements, student progression, weather, and daily equipment/training range availability.
  • Perform daily updates of scheduling data to compensate for changing conditions and training completion rates.
Qualifications
Necessary Skills and Knowledge
  • Proficiency in scheduling software and systems. Strong MS Office skills.
  • Excellent verbal and written communication skills to interact effectively with crew members and internal teams.
  • Strong attention to detail and ability to multitask in a dynamic, high-pressure environment.
  • Ability to think critically and make decisions quickly, especially in time-sensitive situations.
Minimum Qualifications
  • Minimum 1 -2 years of related experience
  • Must have a Secret clearance
  • US citizen
  • Ability to travel
Preferred Qualifications
  • Possesses a Top Secret clearance.
  • Experience working with PEX/GTIMS or similar proprietary scheduling program is highly desirable.
  • Experience working in a Flying Squadron/Group/Wing Stan/Eval office is highly desirable.
Pay and Benefits

The hourly rate for this position is $48.76.
