Job summary

Lilac St. is seeking an Operations professional to own the end-to-end order flow, 3PL coordination, and invoicing across Shopify, Amazon, TikTok Shop, and retail. You will own the day-to-day handoffs between our team, 3PL, vendors and channels, ensuring on-time shipments and accurate billing.

You will manage POs, transfers, wholesale orders, and onboarding while maintaining playbooks and SLAs. This role is remote and fast-paced, with cross-functional coordination across partners.

Qualifications

• Retail and marketplace order experience: EDI orders, routing guides, ship windows, FBA or FBT prep.
• 2+ years running orders and fulfillment with a 3PL at a DTC or CPG brand.
• Hands-on ShipHero or similar WMS: PO, transfer and order entry.
• Ability to close loops with up to 30 open requests and provide status updates.
• Accounts payable basics: bills, invoices, credits, reconciliation.

Responsibilities

• Own 3PL and fulfillment, tickets, inventory questions, claims and credits, ensuring SLA adherence.
• Enter POs, transfer orders and assembly requests in ShipHero and track to completion.
• Catch missed/shipped mid-cycle orders in Shopify and ShipHero; close with Customer Service.
• Support transition to a new 3PL: checks, SKU/order testing, issue logging and fixes.
• Handle channel and wholesale orders, and replenishment for Amazon FBA/FBT and TikTok Shop.
• Maintain routing guides, ship windows and partner prep requirements; keep current.
• Coordinate wholesale end-to-end: order receipt through shipment confirmation and EDI setup.
• Manage PR, seeding, and internal orders; ensure correct contents and timing.
• Validate kit lists against seeding briefs; flag gaps to Brand early.
• AP tracking: collect contractor/vendor bills and reconcile invoices; keep records organized.
• Serve as backup owner of ShipHero and Zendesk; onboard/offboard logistics.

Job description

You make sure every order, shipment and bill that leaves Lilac St. is right and on time. You own the daily handoffs between our team, our 3PL, our retail and marketplace channels, and our vendors, so the Head of Operations can spend their time on planning instead of chasing tickets. We sell across Shopify, Amazon, TikTok Shop and retail, and this role is what keeps that from turning into four separate messes.

What you’ll own

• 3PL and fulfillment
• Run the day-to-day relationship with our 3PL: tickets, inventory questions, claims and credits, and holding them to agreed SLAs
• Enter purchase orders, transfer orders and assembly requests in ShipHero and track them to completion
• Catch missed and exception orders in Shopify and ShipHero, and close them out with Customer Service
• Support our move to a new 3PL: receiving checks, SKU and order testing, and logging every issue until it is fixed
• Channel and wholesale orders
• Place and track wholesale (EDI via SPS Commerce), Amazon FBA and TikTok FBT replenishment orders so each ships inside its window and to the retailer's or marketplace's rules
• Keep routing guides, ship windows and prep requirements for each partner current and easy to find
• Own wholesale coordination end to end: order receipt through shipment confirmation, and EDI setup for new and existing retail partners
• PR, seeding and internal orders
• Own PR kit, influencer, sample and employee orders end to end: right contents, right address, shipped on schedule
• Check every kit list against the seeding brief before it ships, and flag gaps to Brand early
• Accounts payable
• Collect contractor and vendor bills weekly, submit them to our accounting team, and chase what is missing
• Reconcile vendor invoices and credits, including the 3PL AP tracker
• Keep invoice records organized so anyone can pull a copy in a minute
• Systems and admin
• Serve as backup owner of ShipHero and Zendesk
• Handle onboarding and offboarding logistics: accounts, access and ownership changes
• Write down how we do shipments, assemblies, retailer onboarding and AP, and keep it current

What success looks like

Day 30

• Running all 3PL tickets, internal orders and weekly bill collection without hand-holding; open-ticket log is current every day

Day 90

• Zero missed ship windows on wholesale, FBA and FBT orders you placed; every PR kit ships complete and on schedule; AP is caught up with no bills older than 30 days unsubmitted

Day 180

• Written playbooks for shipments, assemblies, retailer onboarding and AP that someone else could follow; 3PL SLA misses tracked monthly and credits recovered

What you bring
