SWAN Denver is seeking an Operations Assistant to provide administrative, analytical, and operational support to the General Manager. You will manage workflows, assist payroll, analyze data, and maintain reporting tools to align daily operations across centers and departments.

Qualifications

  • Experience with operational data, reporting tools, or workflow documentation.
  • 2–4 years in administrative support, business operations, or data/reporting roles.
  • Certifications in CIRM, CPSM, PMP, SCOR, Lean, Six Sigma are a plus.
  • Time management: track and prioritize tasks in a fast-paced environment.
  • Ability to work with urgency in a fast-paced setting.
  • Strong communication across diverse cultures and stakeholders.
  • Proficient with ERP/CRM systems, databases, and BI tools.

Responsibilities

  • Provide daily administrative and operational support to the General Manager.
  • Gather data, prepare summaries, and coordinate cross-functional communication for payroll, safety, and compliance.
  • Maintain databases and reporting infrastructure to automate and analyze operational reports.
  • Support ad-hoc data requests with basic to intermediate analysis and actionable summaries.
  • Document workflow changes and standardize processes across departments.
  • Collaborate with leadership to review processes and implement best practices.

Job description

The Operations Assistant provides essential administrative, analytical, and operational support to the General Manager. This role manages business operations workflows, provides payroll assistance, performs data analysis, maintains reporting tools, and supports daily operational activities.

The position plays a critical role for the general manager organizing information, streamlining business processes, and ensuring operational alignment across all supported centers and departments. The operations admin assistant must demonstrate strong organizational skills, analytical capabilities, attention to detail, and the ability to work cross‑functionally in a fast‑paced environment.

Key Responsibilities:
  • Provide daily administrative and operational support to the General Manager
  • Support business functions including payroll, safety, compliance/licensing by gathering data, preparing summaries, and coordinating cross‑functional communication.
  • Maintain databases to effectively compile data for statistical reporting. Maintain infrastructure to effectively automate and analyze operational reports with minimal manual intervention.
  • Support ad‑hoc data requests by performing basic to intermediate analysis and preparing actionable summaries.
  • Manage data repository and document workflow changes, operational procedures, and process improvements for standardization.
  • Work with leadership to review operational processes and identify and implement best practices.
  • Properly document all recommended process improvements and establish standardization where possible.
  • Support operational projects assigned by the General Manager, ensuring timely execution and communication.
  • Perform other related duties as assigned.
Qualifications:
  • Experience working with operational data, reporting tools, or workflow documentation.
  • 2–4 years of experience in administrative support, business operations, or data/reporting roles.
  • Certifications in any of the following preferred: CIRM, CPSM, PMP, SCOR, Lean, Six Sigma are a plus.
  • Time Management: Able to track and prioritize tasks in a fast‑paced environment with several simultaneous projects.
  • Ability to operate with a sense of urgency in a fast‑paced work environment.
  • Communication: Able to effectively persuade and influence both entrepreneurial leaders and traditional leaders.
  • Able to read, write and communicate professionally and effectively across diverse cultures.
  • Able to present information and respond to questions with peers, managers, clients, customers, and the general public on technical subjects.
  • Comfortable working independently and in a team setting.
  • Analytical Skills: Able to define problems, collect data, establish facts, draw valid conclusions, and solve day‑to‑day level problems. Ability to interpret an extensive variety of data/instructions in numeric or diagram form with several abstract and concrete variables.
  • Math Ability: Able to work with mathematical concepts such as probability and statistical inference. Able to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
  • Technology Skills: Word processing, spreadsheets, internet software, and email. Familiar/experienced with ERP/CRM systems, databases, and business intelligence software or other similar data applications.

Works in a professional office environment using computers, phones, and standard office equipment. Primarily seated with occasional standing and walking.
