Visit St. Mary’s MD, Inc. (VSMMD), located in Leonardtown, Maryland, is seeking an Operations and Sales Coordinator. The position is responsible for the financial and accounting health of the organization and expanding tourism sales efforts within the organization.

In this role, you will provide the administrative and financial oversight for VSMMD and manage the day-to-day accounting operations, providing strategic financial and accounting support to the Executive Director and Board of Directors. In addition, the coordinator serves as the group sales liaison responsible for connecting event planners and sports leads to tourism partners and the Executive Director.

This position interfaces with key community, government, hospitality, media, and tourism leaders at the local, regional, and state level and demonstrates VSMMD’s positive impact on St. Mary’s County. The Operations and Sales Coordinator of VSMMD reports to the Executive Director, who in turn reports to the VSMMD Board of Directors, comprised of industry leaders with expertise in tourism and hospitality. VSMMD works closely with the St. Mary’s County Department of Economic Development and various other non-profits and government entities.

Ideal candidates will have experience working in tourism agencies or tourism-related agencies, will have non-profit experience, financial literacy, and group sales and marketing skills. A bachelor’s degree from an accredited institution of higher education is preferred but not required.

The Operations and Sales Coordinator shall produce monthly financial reports, identifying expenses for tourism activities and accomplishments. The Operations and Sales Coordinator ensures the Board of Directors is aware of all financial matters including accounting compliances and IRS filings. The Operations and Sales Coordinator provides monthly updates to the VSMMD Finance Subcommittee and bimonthly updates to the full board.

The Operations and Sales Coordinator supports efforts to increase visitation and overnight stays in St. Mary’s County through proactive sales outreach and positive networking. The Operation and Sales Coordinator develops relationships with group travel decision-makers, represents Visit St. Mary’s MD at relevant events (along with team members), and connects prospective groups with local tourism partners.

Visit St. Mary’s MD is a 501(c)(6) non-profit, responsible for destination marketing and management, all designed to support travel and tourism in St. Mary’s County. Our small, agile team shapes, promotes, and champions our community in developing a local culture that complements St. Mary’s County and welcomes visitors. We find creative and innovative ways to highlight local businesses, support regional events, and promote St. Mary’s on social media, the web and in print, and we have a lot of fun doing it!

Duties
  • Manage the day-to-day expenses and accounting operations, administration, and sales coordination of VSMMD and its programs and efforts.
  • Assist with the development, implementation, and consistent monitoring of the annual VSMMD budget; implement financial strategies and policies that maintain the fiscal integrity of VSMMD.
  • Assist with the update of the Tourism & Hospitality Master Plan (THMP), previously adopted in 2016.
  • Assist with the development and implementation of a sales and marketing plan.
  • Assist with the invoicing and payment of annual financial support to the Southern Maryland National Heritage Area.
  • Proficiency with the following software programs: Microsoft Business 365, Google Workspace, Bill, Xero, Gusto, Adobe Acrobat Pro and the ability to learn and navigate the software and financial systems related to all VSMMD subscriptions and memberships.
  • Provide grant support and administration for the annual Maryland Office of Tourism Destination Marketing Organization grant, Rural Maryland Council grant, and other grants as awarded.
  • Research additional grant opportunities to support the operating budget.
  • Manage the coordination of a yearly financial audit in partnership with a certified third party.
  • Create programs to successfully solicit and develop group tours and travel trade sales highlighting St. Mary’s County lodging options, museums, events, and attractions.
  • Research host opportunities for sporting events and meetings that align with the county’s infrastructure.
  • Provide occasional staffing support at a table or booth during festivals, community events, and other outreach activities. Nights and weekends may be required, with comp time/flex time provided to ensure working hours are captured. Occasional travel may be required.
  • Build and maintain partnerships with members of the St. Mary’s County Government and Town of Leonardtown, including elected officials.
  • Build and maintain partnerships with members of the tourism and hospitality workforce throughout Southern Maryland, seeking their input in strategic direction and ensure they are kept informed of VSMMD progress and plans.
  • Conduct proactive outreach to generate new group and tourism businesses, providing feedback on the process and outcomes to the Executive Director and Board of Directors.
  • Analyze new group and tourism business that may generate visitation and overnight stays.
  • Track the staffing hours needed to create a positive and productive sales position.

Pay and Other Benefits

  • Pay: $55,000.00 - $65,000.00 per year
