Job description

History

Since 1976, the Greater Mondawmin Coordinating Council (GMCC) has served as an umbrella organization for the community associations in the Greater Mondawmin area. GMCC has provided support to its affiliated community associations and brings their combined voice to government agencies, nonprofits, and other stakeholders. In 2023, GMCC received funding to bring on a full-time professional staff to support the ongoing efforts of community leaders and volunteers amidst large scale renewed investment in our area.

Mission and Vision

GMCC mobilizes residents and leads programs to create equitable neighborhood change and strengthen community leadership. We envision Greater Mondawmin as a rooted community where all generations thrive, with active neighborhood associations, connected residents, strong institutions, and programs that respond to community-identified needs.

Position Summary

The Operations & Data Coordinator supports GMCC's daily business systems, financial tracking, and initiative management. Reporting to the Executive Director, this role keeps GMCC running smoothly behind the scenes-managing routine bookkeeping and reconciliations, maintaining program data, coordinating event logistics, and keeping our community informed through newsletters and digital channels.

Working closely with program leadership, neighborhood partners, and residents, the Coordinator ensures that administrative procedures, grant documentation, and data tracking are accurate, timely, and well-organized.

We are a small team with a big vision. We value organized, detail-oriented team members who enjoy building efficient systems, supporting community-rooted programs, and keeping operations running seamless across finance, data, and communications.

Primary Responsibilities
Financial Records & Bookkeeping Support
  • Manage Routine Bookkeeping: Process coded income and expenses in QuickBooks Online, reconcile bank, credit card, and payroll accounts monthly, and resolve statements or invoice discrepancies.
  • Disburse & Track Payments: Handle approved invoices, vendor payments, payroll items, and resident stipends/reimbursements for community group members in accordance with organizational policies.
  • Support Audit Readiness & Grant Reporting: Maintain clean supporting documentation and assist leadership with grant expenditure tracking, financial reports, and year-end reviews.
Program Data & CRM Administration
  • Enter & Maintain Program Data: Accurately enter and update records in spreadsheets, other tracking systems, and a new CRM, while supporting GMCC's ongoing growth.
  • Track Program Activity & Outcomes: Maintain partner-reported program data, including data on program referrals, eligibility, and enrollment; run routine reports; and prepare clear progress summaries and dashboards.
  • Ensure Data Quality: Review records for completeness and accuracy, correct inconsistencies and maintain standardized documentation.
Organizational Operations & Event Logistics
  • Coordinate Meetings & Scheduling: Schedule board, committee, and partner meetings, organize materials, capture meeting notes, and track follow-up action items.
  • Support Community Events: Provide administrative and logistical support for GMCC community events.
  • Maintain Administrative Systems: Keep organizational calendars, contact lists, digital filing systems, and vendor contracts up-to-date and easily accessible.
Digital Communications & Community Outreach
  • Publish Communications Materials: Draft, format, and distribute GMCC's monthly email newsletter and post engaging updates across social media channels with content provided by program staff.
  • Promote Events & Resources: Coordinate with program staff to create accessible digital materials and maintain accurate mailing lists for neighborhood partners and residents.
Desired Qualifications
  • Experience in administrative coordination, office operations, bookkeeping, or program support, including independently completing bank and credit card reconciliations and researching discrepancies.
  • Proficiency with QuickBooks Online or comparable accounting software, including accurately processing invoices, payments, receipts, payroll documentation, and routine financial reports.
  • Experience maintaining spreadsheets, databases, or CRM systems such as Salesforce with a high degree of accuracy, discretion, and sound judgment when handling confidential financial and participant information.
  • Experience drafting newsletters, managing organizational social media accounts, and communicating clearly in writing.
  • Strong organization, time management, and follow-through, with the ability to manage competing priorities and collaborate with staff, community members, and partner organizations.
  • Experience with nonprofit or grant-funded accounting and reporting is strongly preferred.
Schedule, Compensation & Benefits
  • Job Type: Full-time (35-40 hours/week); Hybrid (3 days in office at TouchPoint Baltimore / 2 days remote).
  • Schedule: Standard core hours of 10:00 AM - 5:00 PM, Monday-Friday, with some evenings.
  • Paid Time Off: 15 vacation days, 5 sick days, and 5 personal days per year.
  • Benefits: Health, Dental, Vision and Retirement Plan with Employer Match.
