Job summary

The Millstone Evans Group is seeking an Operations & Compliance Administrator to support client and business operations, compliance, and day-to-day office administration in Boulder, CO. You will partner with the Chief Compliance Officer and Chief Operating Officer to ensure efficient operations and accurate servicing.

You will help manage billing, records, HR tasks, and compliance documentation, while enabling growth and long-term firm success.

Qualifications

  • 3+ years of operations, administrative, or related experience.
  • Financial services, wealth management, or RIA experience preferred.
  • Proficiency with Microsoft Office Suite; QuickBooks, BillFin, and Raymond James platform experience a plus.
  • Exceptional attention to detail and follow-through; ability to manage tasks to completion.
  • Comfortable in a dynamic environment with evolving priorities and initiative.

Responsibilities

  • Prepare and process quarterly client billing and maintain billing records.
  • Assist with reconciling company expenses and accounts using QuickBooks.
  • Manage day-to-day office operations, including ordering supplies and coordinating vendor relationships.
  • Support planning of firm meetings and events and maintain organized records.
  • Assist with employee onboarding, training acknowledgements, and HR administration.
  • Compile documentation for periodic compliance testing and reviews.
  • Assist with tasks relating to compliance reviews and testing, including document maintenance.
  • Distribute and track periodic compliance certifications and acknowledgements.
  • Maintain the Compliance Calendar and track annual compliance requirements.
  • Effectively manage multiple priorities in a fast-paced environment.
  • Contribute to special projects and firm-wide initiatives to support growth.

The Position:

As the Operations & Compliance Administrator, you will play a key role in supporting client and business operations, compliance, and overseeing day-to-day office administration. You will partner closely with the Chief Compliance Officer, Chief Operating Officer, and internal team members to ensure operations are handled efficiently, accounts are serviced accurately, and follow-up actions are completed seamlessly. Through your commitment to excellence, you will help enhance compliance and operational efficiency, ensure the accuracy of business processes, and contribute to the firm's continued growth and long-term success.

Responsibilities:

Salary & Benefits:
  • $75,000 - $90,000
