University of Maryland, Baltimore County (UMBC) invites applications for an Operations and Communications Coordinator within the Institute for Harnessing Data and Model Revolution in the Polar Regions (iHARP). The role supports center operations, communications, and collaboration across stakeholders.

The successful candidate will coordinate day-to-day administrative tasks, assist with events and travel, and serve as a liaison among faculty, researchers, and partners, with a hybrid work schedule

Qualifications

  • Three years of experience in project management, communications, and business administration or related field.
  • Strong written and verbal communication and customer-service skills.
  • Ability to learn new administrative systems and exercise sound judgment within policies.

Responsibilities

  • Coordinate day-to-day center administrative operations and resolve routine issues, escalating when needed.
  • Respond to routine payroll, travel, events, conference registration, center communications, and admin requirements questions.
  • Coordinate facilities work orders, building access requests, and track sensitive/capital inventory.
  • Serve as administrative liaison among UMBC faculty, OCAM, subawardee institutions, and external collaborators.
  • Coordinate scheduling and tracking of multi-institutional activities, deliverables, timelines, and reporting requirements.
  • Plan and coordinate workshops, conferences, meetings, travel logistics, and post-event documentation.
  • Prepare, process, and track reimbursements, stipends, purchases, travel, and procurement documentation.

The University of Maryland, Baltimore County (UMBC) is seeking an Operations and Communications Coordinator for the Institute for Harnessing Data and Model Revolution in the Polar Regions (iHARP). Reporting to the Center Director and working closely with on- and off-campus collaborators, the incumbent will be responsible for the coordination of operations and communications for the iHARP research center.

Responsibilities:
  • Coordinating day-to-day center administrative operations and resolve routine operational issues within established policies and procedures, escalating matters requiring leadership or central office decisions
  • Serving as an operational resource for students, researchers, fellows, faculty, and non-UMBC partners by responding to routine questions regarding payroll, travel, events, conference registration, center communications, and administrative requirements
  • Coordinating facilities work orders, building access requests, and monitoring and reporting on sensitive/capital inventory
  • Serving as primary administrative liaison among UMBC faculty, OCAM, subawardee institutions, and external collaborators
  • Coordinating scheduling, administrative follow-up, and tracking of multi-institutional activities, deliverables, timelines, and reporting requirements
  • Planning and coordinating workshops, conferences, scientific meetings, and related program activities, including schedules, speakers, venues, travel/logistics, promotional materials, participant communications, and post-event documentation
  • Preparing, processing, and tracking routine reimbursements, stipends, purchases, travel, and procurement documentation using, PAW, p-card, PeopleSoft Finance, FADS, and/or successor systems
  • Completing additional administrative projects as assigned to support iHARP and OCAM priorities
Required Minimum Qualifications:
  • Three years of experience in project management, communications, and business administration or in a related field.
  • Applicants should have strong written and verbal communication and customer-service skills, strong computer skills, and the ability to learn new administrative systems.
  • The ideal candidate will have proven problem-solving and organization skills and the ability to exercise sound judgment within established policies and procedures.
Preferred Qualifications:
  • Experience using Google Workspace (Docs, Sheets, Slides, Drive, and related tools
  • Tuition remission at UMBC for eligible dependents after two years of FT employment

Salary: $62,000 - $70,000 depending on qualifications and experience.
The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations.

The above salary range represents the University’s good faith and reasonable estimate of the range of possible compensation at the time of posting.
