Job summary

Auxilius is a fast-growing, venture-backed B2B SaaS company revolutionizing how biotechs manage financial operations. You’ll set up new biotech customers on the Auxilius platform, build and QA their trial budgets, accruals, and site payments, and track discrepancies to keep numbers accurate.

Work with Clinical, Product, and Engineering teams, gaining ownership early while scaling onboarding. Travel for onsite training is expected, with quarterly team events.

Auxilius is a fast-growing, venture-backed B2B SaaS company revolutionizing how innovative biotechs manage financial operations. We help sponsors control trial costs, manage financial risk, and optimize spending so they can focus on getting drugs to patients faster. Our product looks like software, but what we really provide is clarity.

About the Role

This role sits where clinical trials meet finance. You'll set up new biotech customers on the Auxilius platform, build and QA their trial budgets, accruals, and site payments, and track down the root cause when the numbers don't tie. It's precise, high-trust work: understanding how a biotech runs its trial, then making the numbers reflect it exactly. You'll see how dozens of biotechs operate from the inside, work closely with our Clinical, Product, and Engineering teams, and get real ownership early.

Every hour a finance team doesn't spend untangling trial costs is an hour their organization can put back into the science. By simplifying the financial side of clinical trials and helping teams understand their costs faster, you free investigators to focus on what matters: bringing life-saving treatments, including the next generation of cancer therapies, to the patients waiting for them.

We'll Count On You To
Build and configure
  • Do the hands-on setup for your own set of customers: enter their budget, contract, and site data, and map their trial structure (sites, visits, procedures, country cohorts) into the platform’s budget and forecast models.
  • Pull the budget, payment terms, and milestone triggers out of a sponsor’s CTAs, work orders, and change orders, and set them up so accruals and site payments calculate correctly.
  • Load and reconcile vendor invoices, CRO fee schedules, and pass-through estimates against contracted amounts
  • Configure customers’ period-close calendars and reporting cadence so their accrual outputs land in time for their monthly close; support close period pushes, when customer close deadlines can mean occasional evenings
  • Cross-check platform outputs against source documents, EDC extracts, and customer trial balances to verify accuracy before anything reaches a finance team
  • Bring professional skepticism — catch the mislabeled cost, the duplicated line, and keep each customer's data compliant with their controls.
  • Enter accrual and forecast inputs exactly as the contracts specify, and flag discrepancies with a clear explanation of the variance
  • Maintain an accurate view of enrollment and site activation status, updating budgets and forecasts as protocols amend and timelines shift.
  • Document what you checked and why, so another analyst (or an auditor) can retrace it.
Solve problems and reconcile
  • Be able to walk anyone, internally or on a customer call, through where a number came from, line by line, because you entered it and checked it yourself.
  • Investigate the root cause of data issues when numbers don't reconcile, working through messy, ambiguous data methodically until you find the story and can explain it in plain language
  • Reconcile CRO invoices against contracted unit rates and earned-value calculations, and surface overbilling or missed pass-throughs.
  • Serve as the day-to-day point of contact for first level customer questions, coordinating with cross functional teams (Clinical, Engineering, etc) when an issue needs deeper investigation
Improve the process and make the product better
  • Turn manual, one-off processes into something repeatable, using AI tools day to day and building reusable skills and automations in AI platforms.
  • Feed what you see in real workflows back to our founders and Product team and help test new features before they ship.
  • Calculate and track key onboarding metrics — time to first close, data-error rates, configuration cycle time — and use them to target where the process breaks
  • Build the templates, checklists, and playbooks the analysts who come after you will work from.
Learn the domain and grow
  • Learn the clinical side properly (protocols, site contracts, enrollment mechanics) so you can talk trial economics with sponsors, not just accounting.
  • Grow into the person who owns the process, not just the task. Early hires here define the onboarding playbook and train the team that follows.
  • Tackle the most urgent and immediate problems facing Auxilius as a whole – leverage this as an opportunity to learn and grow
  • Travel for onsite training when you start, plus full-team events on a quarterly to yearly basis.
Skills and Qualifications

We hire for three things above all: ownership, attention to detail, and a growth mindset.

  • 0–3 years of experience somewhere that trained you to be meticulous - Big 4 or another rigorous accounting/audit firm, biotech or life sciences finance, a banking or consulting analyst program, or SaaS ERP implementation. Strong performance in a demanding undergraduate program counts too.
  • Meticulous attention to detail and genuine satisfaction in getting the numbers right - QA/QC isn't a chore to you, it's the craft.
  • Undaunted by a startup environment: you are willing to roll your sleeves up as we work toward automating manual processes, and are OK rolling with rapid change
  • Fluent in Excel, comfortable with data, and happy digging into a messy dataset to find the story.
  • Comfortable using AI tools and interested in building your own skills and projects in AI platforms to automate repetitive work.
  • Process-oriented and self-directed: you follow a process carefully, keep multiple work streams moving, and look for ways to make each one cleaner.
Preferred
  • Exposure to clinical trials (CTAs, protocols, site contracts, EDC) or accounting workflows (accruals, reconciliation, close). Neither is required (we'll teach you the side you're missing), but candidates who bring one or both will stand out.
  • Located near one of our hub offices: Boston, New York, Salt Lake City, or Chicago. If you're in a hub city, expect to come into the office a few times a month on an ad hoc basis.
What Success Looks Like

In your first 3 months, you're configuring customers accurately and independently, the data they rely on is clean, reconciled, and audit-ready, and you're the person the team trusts to catch what others miss. The rough edges you hit early are already turning into repeatable processes for the whole team.
