Job summary

AIT Worldwide Logistics is seeking an Operations Agent Ocean in Chicago to coordinate daily import/export of international ocean freight shipments. You will work with customers, carriers, and ports to ensure on-time loading and arrival, while maintaining accuracy in data, schedules, and documentation.

Ideal candidates have at least 2 years in ocean freight forwarding, strong problem-solving skills, and fluency in English and Polish.

Qualifications

• Minimum 2 years of experience as an Ocean Freight Forwarder.
• Ability to work in fast-paced, high-volume environment.
• Fluent in English and Polish, both written and spoken.

Responsibilities

• Coordinate day-to-day import/export of ocean freight shipments.
• Qualify shipping requirements and gather necessary documentation.
• Prepare accurate quotations and set shipping schedules.
• Communicate with customers, carriers and ports to confirm loading and arrivals.
• Track shipments and resolve delays or issues.
• Ensure shipments are billed according to guidelines and regulations.
• Coordinate with internal teams and partners to meet KPIs.

Overview

The Operations Agent Ocean is responsible for coordinating the day-to-day import/export of international ocean freight forwarding shipments into and out of the EU across all modes of international transportation based upon customer requests.

Responsibilities

• Work with customers to qualify their shipping requirements and obtain all details (regulations, certificates, documentation) necessary for shipment quotation and operating to ensure the customer’s request is satisfied
• Prepare profitable quotations accurately
• Set shipping schedules and communicate with customers, deliverers, and ports to verify loading, departures, and arrivals in a timely manner
• Coordinate the day-to-day import and/or export of products, including reviewing orders and documents
• Track and communicate all delays, damages, problems and work to resolve customer issues
• Responsible for all aspects of ocean international operations such as customer service, data entry of shipments, operations and billing
• Manage all aspects of tracking shipments to ensure shipment is moving as scheduled and update system immediately upon verification
• Identify and rectify if a shipment has deviated from its schedule
• Coordinate recovery/delivery schedules with various cartage agents and international partners
• Partner with local sales teams to communicate problems to customers, international partners, and other stations, as needed
• Ensure all customers’ SOP instructions are adhered to and AIT KPIs and guidelines are followed and met
• Ensure all shipments are properly billed within company guidelines and timelines
• Process and comply with all requirements listed by regulatory agencies
• Network with corresponding departments to ensure files are billed and posted prior to end of month
• Execute all Dangerous Goods shipments in compliance with all applicable laws and regulations (as applicable)
• Contribute actively to a healthy and secure work environment by reporting unsafe/ unsecure/ unhealthy conditions and possible improvements

Qualifications

• min. 2 years of experience as a Ocean Freight Forwarder
• Utilizes established procedures but decides action within task
• Must be able to perform in a fast pace / high volume work environment
• Attention to detail
• Problem Solving
• Fluent oral and written English and Polish is a must
• Strong PC skills (Windows, Microsoft Office applications) preferred
• Cargo Wise Software experience a plus
• ITAR, Dangerous Goods or TSA work experience / regulations
