Job summary

Paycom - ATS is seeking an Operations Associate to support International and Domestic shipments. You will assist managers with setup, routing, data input, document gathering, and client billing to meet deadlines and customer expectations.

Responsibilities include obtaining full shipment details, updating Aerotrac milestones, generating client reports, tracking progress, negotiating vendor pricing when needed, and ensuring accurate costs and invoicing within 72 hours of POD.

Qualifications

  • High school diploma required; 2–3 years experience preferred but not mandatory.
  • Strong verbal and written communication skills.
  • Proficiency with MS Word, Excel, and Outlook.

Responsibilities

  • Coordinate shipments and amendments based on client directives.
  • Generate reports and client data requests.
  • Maintain client service communications via phone or email.
  • Input shipment data into Aerotrac and ensure billing readiness.
  • Negotiate spot pricing with vendors as needed.
  • Ensure accurate costs and invoicing within 72 hours of POD.

SummaryThe purpose of the Operations Associate is to assist the International and Domestic Managers in coordination and facilitation of all clients and station needs relative to shipment: setup, routing, cost capturing, data input, document creation and gathering of documents needed for governmental requirements as well as client billing. This person will assist in all matters in order to achieve all aspects of shipments processing needed to fulfill client’s deadline, specialized requirements, and provide updates needed to meet or exceed client’s request and expectations.Essential Job Duties include but not limited to:Client ServicesCourteous etiquette via phone or e-mail interaction in order to facilitate client service requests in a thorough and expeditious mannerShipment coordination (setup of shipments and/or amendments to existing shipments based upon client directives including air, lcl, fcl, and break-bulk shipmentsQuote requests- obtain competitive and unique price solutions able to satisfy clients requests relative to shipment particulars provided.Manage all import and export documentation.Tracking updates- Input milestone/tracking updates with Aerotrac, provide client updates as shipment progress is obtained throughout duration of shipment move.General inquires and follow up-fulfillment of any specialized requests provided by client within expected time-frame communicatedGenerate reports and client specific data requests directly to client upon requestGood relationships with shippers and working knowledge of shipper lanes and specific needsOperations Requirements-(Shipments/quotes)Obtain ALL details necessary for shipment/quote in order to evaluate all factors to ensure client’s request is satisfiedExamine all possible factors prior to shipment coordination and/or pricing to ensure most successful resultInput all essential information into Aerotrac computer system to allow all information needed for shipment coordination and billing are achievedWeigh all factors and prioritize action items in order to determine critical timing for action items for shipment coordination to ensure a successful transactionMust be able to negotiate with vendors as needed to gain “spot” or preferred contract pricing as needed and/or determinedDiligently manage all aspects of tracking shipments to ensure shipment is moving as scheduled and update system milestones immediately upon verificationIdentify and rectify if a shipment has deviated from scheduled transit in a effort to correct shipment and achieve client expectationVerify accurate costs of shipment and input into Aerotrac.Closing of invoices ensuring revenue, cost accrual and approval are accurate at the file level and is completed within 72 business hours of PODHigh school diploma required, preferred 2-3 years of experience, but not mandatoryPassing background/drug screening for TSA requirementsStrong verbal and written skillsExcellent organizational skills and attention to detailProficiency in MSWord, Excel, OutlookProblem solving skills, must be able to handle pressure situations and multi taskAbility to work well in flexible, dynamic work environmentProactive and self-starting team playerWorking ConditionsOffice environment with cubical / desks / office chairs / copy machines, fax machines. Access to warehouse and truck docks as needed with forklift present.
