Job summary

UEI College is seeking an Operations Administrator to support on-campus operations by assisting the Campus President with day-to-day duties, especially recruiting top talent for the campus. You will manage book and supply inventory, coordinate with the facilities and Security teams, and maintain confidential personnel files while promoting a safe, efficient campus environment.

Responsibilities

  • Complies with all Federal, State, accreditation and institutional policies and procedures.
  • Accountable for recruiting, screening resumes, hiring and onboarding of new campus colleagues, including new hire paperwork review and new hire orientation.
  • Assist the Campus President or Executive Director with reducing turnover at the campus
  • Directly responsible for the budgeting and inventory fulfillment of all campus book, uniform and supply orders.
  • Reports all on-site campus facilities issues and interacts with third-party property management for facilities maintenance.
  • Provide support towards scheduling and being the liaison with campus Security staff.
  • Promotes a safe and healthy environment for all colleagues and students as a Campus Safety Champion.
  • Submits purchase orders for all campus departments and handles office supply orders via Staples.
  • Performs Campus accounting functions: codes purchase orders and Amex reimbursement forms.
  • Responsible for distribution and inventory management of all kinds of devices such as Kindles and keyboards and assigns devices to new students.
  • Conducts confidential pre-employment process for employees, including requisition submittal, offer terms, and pre-hire paperwork completion.
  • Creates requisitions and offers terms using the company’s Applicant Tracking System.
  • Timely submits all PAFs to document staff changes at the campus.
  • Creates and maintains confidential employee files.
  • Other duties as assigned.

We are currently seeking an Operations Administrator to join our team.

Manages on-campus operations functions by supporting the Campus President or Executive Director with day to day duties with a heavy emphasis on recruiting top talent at our campus and assist with reducing colleague turnover. Also assist with just-in-time book and supply inventory, managing office supplies, on-site facilities management and supporting/directing Security staff.

Primary/essential duties and responsibilities
  • Complies with all Federal, State, accreditation and institutional policies and procedures.
  • Accountable for recruiting, screening resumes, hiring and onboarding of new campus colleagues, including new hire paperwork review and new hire orientation.
  • Assist the Campus President or Executive Director with reducing turnover at the campus
  • Directly responsible for the budgeting and inventory fulfillment of all campus book, uniform and supply orders.
  • Reports all on-site campus facilities issues and has primary responsibility for interacting with the third-party property management company related to short, medium and long-term facilities maintenance, management, repairs in co-ordination with Irvine facilities.
  • Provide support towards scheduling and being the liaison with campus Security Staff.
  • Promotes a safe and healthy environment for all colleagues and students as a Campus Safety Champion.
  • Submits purchase orders for all campus departments to the Purchasing department; receives and verify all shipments. Also responsible for all office supply orders via Staples.
  • Performs Campus accounting functions as follows: Codes all purchase orders/ CP Amex reimbursement forms and submit to the Accounting department.
  • Responsible for distribution and inventory management of all kindles and keyboard inventory as well as assigning devices to new students.
  • Conducts confidential pre-employment process for employees, including requisition submittal, offer terms submittal, and pre-hire paperwork completion.
  • Creates requisitions and offer terms using company’s Applicant Tracking System..
  • Timely submits all Personnel Action Forms (PAFs) to immediately document staff changes at assigned campus.
  • Creates and maintains confidential employee files.
  • Other duties as assigned.
  • One-three years related experience, or equivalent combination of education and experience.
  • Recruiting or staffing experience preferred
  • Ability to effectively manage multiple priorities.
