Operations Administrator - AMP - Lewisville, TX
Monday to Friday, 8:00 AM to 5:00 PM. Acts as assistant to the Operations Director, Managing Director and physicians. Coordinates and codes invoices, oversees facilities maintenance and issues, maintains daily operations and building issues. May be involved in basic employee issues. Oversees the licensure process. Assists with operation problem resolution and projects. Maintains inspection‑ready status at the main lab and off sites. Writes Standard Operating Procedures (SOP). Supports Operations and Quality Assurance departments. Addresses day‑to‑day operational issues for non‑technical departments. Acts as backup to the Safety Officer. Performs administrative and training duties with limited supervision. Assists with special projects and performs all other duties assigned.
Pay Range
$60,500+ per year. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and certifications obtained, as well as market and organizational factors. Successful candidates may be eligible for an annual performance bonus.

Responsibilities
- Treat each internal and external guest interaction in an attentive, courteous and efficient manner
- Maintain HIPAA compliance by having visitor’s sign‑in and fill out Confidentially Agreement
- Ensure assigned areas of responsibility meet all standards and regulatory requirements
- Maintain and follow the policies and procedures of the organization
- Maintain a database system of all issues and documentation
- Meet all compliance requirements
- Process and maintain applications and fees for renewing facility licensure, Clinical Laboratory Improvement Act (CLIA) numbers, College of American Pathologists (CAP) accreditation and city and county occupational licenses
- Process and maintain physician medical licenses, occupational licenses and Drug Enforcement Agency (DEA)
- Maintain and track medically related, legal activity and files
- Ensure legitimacy of requests for depositions, medical records and original and recut slides; produce reports, bills, original and recut slides and blocks in response to legal requests; schedule pick‑up or delivery of required materials and depositions; bill for all services accordingly and track billed invoices for payment
- Obtain, renew and maintain hospital privileges for pathologists at contracted hospitals and surgery centers
- Maintain building security integrity and issue all guest visitor badges
- Keep front office reception area neat, organized and secured after office hours
- Oversee service & repairs for office equipment, shredding service, vending machines, etc.
- Assist with various tasks and projects for Human Resources
- Inventory, maintain and reorder necessary site supplies, including clerical, professional, and technical supplies
- Enter coded or other data to complete cases
- Answer telephones and client inquiries with demonstrated knowledge
- Monitor client status to ensure timely turn‑around time
- Perform quality assurance checks on completed work
- Train other employees on procedures
- Work independently with minimal supervision
- Work under pressure with time constraints
- Concentrate and perform decision making with good judgment

Qualifications
- Required work experience: 5 years in lab administration/operations
- Preferred work experience: 7 years in lab administration/operations
Physical & Mental Requirements
- Primarily sedentary work
- May require walking throughout the building to various other departments, copiers, printers, fax machines, etc.
- May require lifting and carrying of loads up to 20 lbs.
- Ability to visually, physically, and audibly perform all functions, with or without reasonable accommodations
Knowledge
- Knowledge of medical terminology, anatomy and physiology, clinical medicine, surgery, diagnostic tests, radiology, pathology, pharmacology, and the various medical specialties as required in areas of responsibility
- Knowledge of licensure process
Skills
- Strong customer service skills, along with high proficiency in PC levels to include Word and Excel
- Excellent written and oral communication skills, including English usage, grammar, punctuation, and style
Education
- Associate’s Degree (Preferred)
- High School Diploma or Equivalent (Required)
