Responsibilities

  • Oversee behavioral health scheduling processes to ensure timely access to services and efficient provider utilization.
  • Coordinate appointment templates, referrals, and patient flow between primary care and behavioral health services.
  • Collaborate with behavioral health providers, staff, and registration to address scheduling barriers.
  • Coordinate candidate interviews for interns, specialists, and practicum students.
  • Ensure confidentiality and privacy requirements are met for behavioral health services.
  • Monitor productivity, service utilization, wait times, no-show rates, and patient satisfaction metrics.
  • Analyze operational data and implement process improvements to enhance access, efficiency and service quality.
  • Coordinate operational activities with school personnel and community partners; serve as operational liaison between departments.
  • Support integrated care coordination for patients, students, and families; promote trauma-informed, culturally responsive, patient-centered services.
  • Travel between sites as required.

Description

Scenic Bluffs is currently seeking a full-time Operational Supervisor – Behavioral Health Services who will be responsible for overseeing the daily operations of outpatient and school-based behavioral health programs to ensure efficient service delivery, exceptional patient and student experiences, regulatory compliance, and achievement of organizational goals. This position provides operational leadership to patient care coordinators that support behavioral health scheduling and will be the direct supervision for our behavioral health specialist staff while collaborating closely with licensed behavioral health providers, school partners, and organizational leadership.

The Operational Supervisor supports patient access, workflow management, school-based service coordination, quality improvement initiatives, staff development, and compliance with FQHC, state, federal, payer, and school district requirements. The position plays a critical role in expanding access to behavioral health services for patients, students, families, and community partners.

General Operations Coordination
  • Oversee and support behavioral health scheduling processes to ensure timely access to services and efficient provider utilization.
  • Coordinate appointment templates, referrals, and patient flow between primary care and behavioral health services.
  • Collaborate with behavioral health providers, behavioral health specialists, patient care and patient service coordinators, and registration professional staff to address scheduling barriers.
  • Coordinate candidate (intern, specialists, practicum students) interviews and reviews.
  • Ensure compliance with confidentiality and privacy requirements related to behavioral health services.
  • Monitor productivity, service utilization, wait times, no-show rates, referral completion, and patient satisfaction metrics.
  • Analyze operational data and implement process improvements to improve access, efficiency, and service quality.
  • Coordinate operational activities with school personnel, community partners, and healthcare providers.
  • Serve as the operational liaison between all departments.
  • Support integrated care coordination for patients, students, and families.
  • Ensure delivery of trauma-informed, culturally responsive, and patient-centered services.
  • Assist with resolution of patient, family, school, and community partner concerns.
  • Maintain knowledge of behavioral health, school-based health, payer, and regulatory requirements.
  • Prepare operational reports and recommendations for leadership.
  • Promote the organization's mission, vision, and values in all interactions.
  • Perform other duties and special projects as assigned.
Qualifications

This candidate must have strong organizational, communication and problem-solving skills. Knowledge of electronic health records (EHR) is also preferred but not required. The ability to communicate with others in all areas of positions, from provider staff to administration staff, to outside community partners. A team player, flexible and someone who is comfortable with ambiguity. This position needs someone that is a self-starter and is comfortable in a position that does not have concrete workflows and is able to create processes and procedures. The individual must have a valid driver’s license, be insurable and provide own transportation. Travel between sites is a requirement of this position.

Education and/or Experience

An associates degree and/or 2-3 years’ experience in the healthcare environment, Social Services, Public Health or related field is preferred. Minimum three (3) years of healthcare, behavioral health, or community health operations experience. Minimum one (1) to three (3) years of supervisory experience preferred. Experience working within an FQHC, community health center, behavioral health program, school-based program, or integrated healthcare environment preferred.
