Job summary

Esalen Institute is seeking an Onsite Program Coordinator to support Self‑Guided Explorations and TiR, WEP, and related programming on the Esalen campus. You will work behind the scenes to ensure integral operations, scheduling, and guest experiences are smooth, with emphasis on process, care, and teamwork.

Qualifications

• Minimum 2–4 years in program coordination, retreat or education support, or administrative operations
• Experience teaching or facilitating trauma‑informed group practices
• Deep familiarity with Esalen’s mission, ideally with lived experience on the land
• Tech‑forward and comfortable using AI-enabled tools
• Excellent written and verbal communication, with high interpersonal intelligence
• Strong attention to detail and organizational skills with schedules and logistics
• Design sensibility to support clear, attractive materials
• Service‑oriented and able to hold structure in a dynamic environment

Responsibilities

• Coordinate and publish the weekly Self‑Guided Explorations calendar
• Manage scheduling with rotating team of facilitators and track availability
• Serve as liaison with Guest Services and other departments on schedule updates
• Prepare and print weekly schedules; submit content for website and emails
• Onboard new facilitators and manage onboarding documentation
• Coordinate scheduling, housing, and communication for TiR
• Maintain facilitator rosters, contracts, and assets
• Facilitate Self‑Guided classes and orientations across modalities
• Track attendance and collect guest feedback; support data reporting
• Light production and event support for Self‑Guided programs
