Job Title: Onsite Production Manager

Location: Onsite – Westchester, NY (initially in home studio; moving to permanent office)

Note - This role requires in-person work and commuting to lower Westchester. Please don't apply if you are not able to commute and work in-person. We cannot accommodate hybrid or remote applicants due to the nature of the position. It is impossible to perform the job's necessary tasks remotely.

About the Role:

We’re hiring a full-time Production Manager to run the day-to-day operations of our studio. This person will be the organizational and administrative engine of the business—managing timelines, printing and packaging orders, responding to customer inquiries, and keeping everything running smoothly behind the scenes and on the front lines. This is a hands-on, detail-driven role for someone who thrives on checklists, takes pride in efficient systems, and is excited to help grow a small business from the ground up.

Key Responsibilities

  • Print and organize daily orders from multiple consumer touch points including Etsy, Minted, Amazon, Shopify, and others for our fulfillment team
  • Schedule and coordinate FedEx, UPS, and USPS pickups and deliveries
  • Quality check all printed items before packaging and shipment
  • Manage inventory of order materials and packaging supplies (paper, envelopes, packaging, ink, etc.)
  • Order and restock materials as needed, tracking supply levels and lead times
  • Organize and manage physical inventory and production space for maximum efficiency

Project Management & Operations

  • Track project statuses and deadlines using Asana and communicate with internal team members to ensure customer notes are seen and followed
  • Keep internal production timelines updated and flag any delays or issues
  • Create, maintain, and improve systems for workflow, storage, and efficiency
  • Assist with onboarding new clients and updating project info across platforms
  • Document step-by-step processes and help build our internal playbook

Customer Service & Admin Support

  • Triage incoming emails and messages across platforms (Gmail, Etsy, Shopify, Minted, Amazon)
  • Serve as the first line of communication for customer inquiries, using templates and good judgment when responding
  • Answer questions about products, timelines, order status, and policies with clarity and empathy
  • Maintain and update our library of customer service templates and FAQ documents
  • Escalate complex issues to the founder or design team as needed
  • Keep customer communication organized and documented for team visibility
  • Assist with preparing files for printing and sending proofs to clients
  • Provide general administrative support to the founder and studio as needed

Qualifications:

  • Experience in printing, stationery, design, or event production
  • Familiarity with printers, trimmers, and packaging materials
  • Experience with Asana, Dropbox, Google Suite, Shopify, Etsy, or Minted
  • Prior experience in customer service, inbox management, or VA-type work
  • 4 year college diploma or equivalent work experience
  • 1-3 years or recent college grad
  • $40,000-60,000 salary commensurate with experience
