SUMMARY:
This position is responsible for managing and overseeing the successful transition of new financial advisors and their teams to Kestra Financial Inc.
ESSENTIAL DUTIES AND RESPONSIBILITIES: To perform this job successfully, the individual must be able to perform each essential duty satisfactorily:
- Partner with 5-8 onboarding firms, serving as project manager and primary point of contact to ensure the efficient and timely transition of their book of business, while delivering exceptional customer satisfaction and a seamless, referrable experience.
- Host weekly Zoom meetings with assigned onboarding firms to drive engagement, address transition topics, answer questions, and ensure continued progress.
- Ensure all required registration tasks for all producers and staff are completed, overseeing the entire process from the signed Letter of Intent to graduation to the service team.
- Educate representatives and their staff on the policies and procedures of working with Kestra.
- Leverage Salesforce to track and complete internal tasks for each firm, ensuring timely progress and completion of both personal and cross-departmental tasks.
- Oversee firm-related electronic files in SharePoint to ensure transparency and seamless access for all team members.
- Address and resolve any technical, operational, or procedural issues that arise during the transition, working with other departments and internal teams, as needed.
- Work closely with the Technology Solutions team to resolve system integration problems and ensure advisors and their teams have full access to the necessary tools and resources.
- Track the progress of onboarding and transition activities, providing regular updates to the Head of Onboarding on the status of each transition.
- Collect feedback from financial advisors to assess satisfaction levels and identify areas for process improvement.
- Address post-registration transition concerns by facilitating any additional training with the Advisor Education team or providing the necessary resources.
- Demonstrate strong critical thinking skills by asking essential questions, anticipating challenges and future needs, and finding solutions.
- Educate advisors and their team on best practices, including but not limited to taking great client notes, maintaining books and records, and ways to reduce NIGOs, etc.
- Facilitate introductions and relationships with internal departments (Wealth Consulting, Technology Solutions, Business Consulting, Producer Comp, Supervision, etc.) as well as preferred external partners (Redtail, Albridge, eMoney)
- Collaborate with operational teams to ensure the efficient and accurate processing of account setup and transfer documentation after registration.
- Monitor and report on the progress of assets under management and account transfers, as well as the number of NIGOs, adjusting strategies as necessary throughout the transition to ensure targeted goals are met.
- Collaborate effectively with other Onboarding Consultants to achieve shared goals and drive project success.
- Special projects as determined by the manager.
KNOWLEDGE, SKILLS, AND ABILITIES: To perform this job successfully, individuals should have the following skills and abilities:
- Excellent communication (verbal and written) and time management skills.
- Strong customer service and analytical skills
- Intermediate financial services industry knowledge and/or experience
- Must routinely exercise independent judgment and be able to work independently.
- Must possess intermediate (or better) computer skills (Outlook, Word, Excel, and PowerPoint)
- Must be able to manage projects efficiently and effectively, as well as meet established deadlines.
- Must be very detail-oriented and be able to work in a fast-paced environment.
SUPERVISORY RESPONSIBILITIES: None
EDUCATION AND/OR EXPERIENCE:
- A bachelor’s degree in a business-related field is preferred.
- 3+ years’ experience in the financial services industry.
- Previous experience in the independent financial services culture is preferred.
CERTIFICATIONS, LICENSES, REGISTRATIONS:
- Series 7, 65/66 preferred.
