Job summary

GBC Food Services LLC seeks an Expense & Card Reconciliation Specialist to oversee end-to-end administration of the company Purchasing Card program and expense reimbursements. You will ensure timely issuance, proper data integrity, compliance monitoring, and support for field operations, franchisees, and regional managers.

Qualifications

• Experience in multiunit retail, franchise operations, or store support functions.
• Familiarity with compliance monitoring, fraud detection, or risk mitigation.
• Experience coordinating cross functional processes involving IT, Accounting, and Operations.

Responsibilities

• Manage issuance of new Purchasing Cards (P-Cards) for store openings, transfers, and regional managers; handle deactivation for losses or terminations.
• Facilitate card setup with correct operator code and ensure accuracy of cardholder data and IT access.
• Provide timely support for P-Card inquiries, including shipping status, chargebacks, and policy compliance.
• Enforce policy compliance via documented controls and escalation of out-of-policy purchases.
• Perform monthly reconciliation of P-Card transactions to GL and generate reports on expenses and compliance.
• Coordinate with accounting during month-end close to ensure P-Card expenses are accrued and recorded.
