The Office Supervisor will deliver high-quality customer service to patients, staff, and referral sources. Key responsibilities include supervising front office operations (phone management, registration, scheduling, benefits verification, insurance authorization, billing, payments, collections, research, and inquiries), training staff, and ensuring accurate, timely billing and reimbursement practices compliant with laws and policies.

Your Impact

Depending on operational needs, responsibilities may include:

  1. Leading and guiding front office staff to ensure excellent customer service; performing overflow duties as needed.
  2. Conducting annual performance reviews for administrative staff.
  3. Monitoring performance to ensure accurate patient and insurance information, verification, and pre-authorization.
  4. Ensuring daily, accurate, and documented billing processes.
  5. Managing open accounts and maintaining financial records.
  6. Coordinating with payers to optimize reimbursement and maintain A/R goals.
  7. Counseling patients on financial responsibilities and securing commitments.
  8. Verifying cash and adjustments, and timely bank deposits.
  9. Reviewing clinician documentation for compliance and accuracy.
  10. Overseeing patient satisfaction and follow-up programs.
  11. Reporting key statistics to management.
  12. Ensuring proper cash handling and reporting of employee hours.
  13. Scheduling practitioner coverage and managing inventory activities.
  14. Filling in for the Office Administrator and handling special projects.

Minimum Qualifications

  • At least 5 years of administrative experience, with 3+ years in healthcare billing/collections.
  • 2+ years as a Senior Office Administrator or similar role.
  • Associate degree or equivalent experience.
  • Courses or experience in bookkeeping or accounting.
  • Preferred: 3+ years in Orthotics and Prosthetics (O&P) billing.

Pay range: $27.00 - $30.00/hour + bonus + benefits. Compensation varies based on skills and location.
