Job summary

The Oregon Department of Human Services is seeking multiple Office Specialists to join the Imaging and Records Management Services (IRMS) team in Salem. You will process and index documents, scan records, and ensure high-quality electronic files for retention and access.

You will work in a fast-paced production environment, maintain strict confidentiality, and participate in quality control activities while using EDMS technology to support agency records management requirements.

Qualifications

  • One year of general clerical experience including keyboarding or word processing.
  • Typing speed 45+ words per minute; test will be administered in Salem.
  • Ability to work independently with a diverse team in a fast-paced production environment.
  • Experience handling confidential information and maintaining quality standards.

Responsibilities

  • Aid in processing of ODHS and OHA documents for electronic workflow and retention.
  • Scan documents and ensure readability and image quality.
  • Enter data and index documents in electronic document management systems.
  • Perform quality control to remove errors and ensure proper document classification.
  • Assist with batching and organizing documents for processing.

These records constitute the agencies official records and as such must meet quality standards to be reproducible, must accurately identify records contained within image capture, location of image, various websites and must meet processing deadlines, service level agreements (SLA), and payment schedules. These questions are necessary to complete the application process.Working ConditionsWork Environment:This position requires regular on-site work in our Salem Oregon office throughout the work week to support business needs.Initial classroom training will be onsite in our Salem office location.Onsite physical document processing may require frequent handling of paper and its byproducts, such as dust, staples, and adhesives.Onsite preparation and scanning of documents, including sensitive case files.Onsite mail processing includes open, batching, and scanning of a variety of documents.Long periods of sitting for data entry in an office environment.If appropriate conditions exist, some limited remote work may be available after training.
