Job Title: Office Services Specialist (On Call)

Reports To: The Office Services Specialist (On Call), will report to the Client Services Supervisor, Client Services Manager, Human Resources, or equivalent leadership.

Job Overview: The Office Services Specialist (On Call) provides office and mail services in a flexible capacity for positions where regular employees are out of office or for specific projects. Responsibilities include assisting with mail, reception, hospitality, facilities, and copy/print services. The role is based in a specific client "home office" and may be sent to different client sites on short notice. Flexibility and adaptability are essential.

This position aims to deliver high-level service to all client and SPS employees while maintaining a professional image through prompt, courteous, and efficient service.

Duties and Responsibilities:

  • Provide excellent customer service in all communication.
  • Answer calls and assist visitors professionally.
  • Assist with light facilities duties, such as troubleshooting, ordering supplies, and stocking kitchens.
  • Receive and sort inbound mail/packages, input into chain of custody software.
  • Manage outgoing mail/package transactions and shipping/receiving duties.
  • Notify employees of inbound deliveries and distribute mail/packages.
  • Assist with office moves and copy/print services.
  • Help set up/take down conference rooms for meetings/events.
  • Seek additional work during downtime and build professional relationships.
  • Maintain professionalism and guide back-up staff on policies and procedures.
  • Handle sensitive inquiries appropriately and provide reception coverage as needed.

Competencies:

  • Strong communication skills.
  • Customer service excellence.
  • Proficiency in MS Office and familiarity with MFD equipment.
  • Ability to multitask, organize, and work independently.
  • Knowledge of shipping/receiving procedures and ability to follow instructions.
  • Flexibility in schedule and hours.

Qualifications and Education:

  • High School Diploma or equivalent.
  • 6+ months of prior work experience preferred.
  • Ability to work assigned hours and maintain professionalism.

Physical Demands:

  • Ability to lift/move up to 40 lbs frequently and handle packages up to 60 lbs.
  • Must be able to walk, stand, sit, and operate office machinery.

Travel: None or negligible.

Other Duties: Responsibilities may change at any time without notice.

Pay Range: $23 USD per hour.
