Job description

Schedule: In-Office | Monday – Friday | 8:00 AM – 5:00 PM

Pay Range: $19-$22/hr. (Final compensation will be determined based on factors such as experience, skills, education, and internal equity.)

We are seeking an Office Services Specialist to join our team in our Lexington, Kentucky office.

GENERAL DESCRIPTION

Working within the Bricker Graydon Wyatt Office Services Team, this position provides critical advanced-level support to the attorneys and staff in the Firm by performing various office services tasks. These tasks include a mix of one or more of the following areas of responsibility: mail processing, delivery and shipping services, production, copy, scanning/imaging services, supply management, hospitality and conference room set up, stocking services and reception.

Performance of responsibilities may require communication with partners, attorneys, clients, staff, vendors and others, and therefore, incumbents must possess excellent customer service skills, strong communication skills and exceptional problem-solving skills, knowledge of court systems and proper handling of legal documents, and the ability to work with individuals at all levels.

In the absence of one or more Office Services Specialists, this position may also assist with some of the more basic office services functions. This position reports directly to the Office Services Manager.

ESSENTIAL DUTIES AND RESPONSIBILITIES

“Essential functions” are primary job duties that incumbents must be able to perform unassisted or with some reasonable accommodation made by the employer.

  • Perform more advanced office operations in a legal environment which may include mail processing, production copy/imaging services, supply, hospitality and other related services
  • Assume responsibility for completing more complex tasks assigned to team
  • Function as a document specialist, performing quality control and final checks of work product.
  • Determine ways to improve efficiency or reduce expenses while providing quality services
  • Provide mentoring for other specialists
  • Provide coaching on workflow and machine operations for specialists and end-users, ensuring the safe use and proper maintenance of all equipment.
  • Maintain appropriate par levels and inventory
  • Assist in compiling and maintaining production records and volumes

EDUCATION/EXPERIENCE
  • High school diploma or GED required; related technical education preferred
  • 1-3 years of work experience in a mail/copy center required, preferably in a law firm or similar function
KNOWLEDGE / SKILLS / ABILITIES
  • Proficiency in Microsoft Office products
  • Strong attention to detail and highly organized
  • Effective written and verbal communication skills
  • Outstanding typing, spelling, proofreading and grammatical skills
  • Excellent time management skills; able to manage competing priorities in a fast-paced environment
  • Must possess excellent interpersonal and customer service skills to communicate with partners, attorneys, staff, clients, vendors and others
  • Ability to function with a high level of patience, tact and diplomacy in handling difficult situations or difficult people

  • Proven ability to mentor
  • Proficient with legal technologies and software including document management, cost recovery and chargeback systems, etc.
  • In-depth knowledge of court systems and the proper handling and delivery of legal documents such as depositions, transcripts, briefs, addendums, filing, pleadings and judgments
  • Ability to move packages on a standard wheeled cart with a capacity of 50 lbs. or greater
