An established industry player is seeking a dedicated individual to manage mailroom operations, ensuring efficient handling and dispatching of all mail and packages. Under general supervision, this role is responsible for handling and dispatching all mail, packages, and interoffice correspondence for all classes of mail/packages. Responsibilities may also include activities in the copy center, reception, hospitality, and other duties as assigned.
Ensure total customer satisfaction by understanding customer expectations, proactively resolving problems, and building relationships.
Receive, sort, and deliver incoming mail and packages according to assigned floors and time frames. Prepare outgoing mail/packages, including wrapping, sealing, weighing, and postage, in accordance with postal regulations.
Prepare special outgoing inter-office pouches for client affiliates as scheduled.
Package and process outgoing overnight items (Federal Express, UPS, etc.) to meet deadlines; log and deliver incoming overnight packages within established time frames.
Log outgoing and incoming items, review for accuracy, and ensure completeness.
Distribute supplies to client employees, verify and log orders, and monitor inventory of copy supplies, paper, and toner. Maintain a neat supply area.
Handle distribution of items to client employees, affiliates, or dealers.
Estimate runtime for photocopy jobs, check quality and accuracy, produce bound copies, and deliver/pick up copy jobs.
Perform minor maintenance on photocopy machines, such as clearing paper jams and scheduling service.
Operate fax machines, send and receive faxes, maintain logs, and input data into the computer for billing as needed. Generate activity and confirmation reports.
Prepare monthly production and volume reports for productivity measurement and billing.
Perform other administrative duties such as copying, faxing, and scanning as needed.
Additional functions at the discretion of the Site Manager may include:
Maintaining client kitchen areas and conference rooms, ordering food, making coffee, answering phones, greeting visitors, moving boxes or furniture, replacing light bulbs, documenting scanning, preparing shipments, and learning new office automation features.
Other duties as assigned.
