Job summary

Wildlife Conservation Network is seeking an Office Operations Coordinator to keep our office, facilities, technology, events logistics, and finance-support functions running smoothly. This generalist role reports to the CFO and collaborates with Donor Engagement and Events; it’s an in-office, full-time position in San Francisco.

You will handle reception, vendor coordination, check deposits, expense reporting, inventory, and support cross-team projects; a strong entry point into nonprofit

Qualifications

  • 1-3 years of office/administrative experience.
  • Strong general computer and technology skills (spreadsheets, documents, presentation software).
  • Experience with cloud-based collaborative tools (Google Drive, email); willingness to learn Salesforce basics with training.
  • Experience answering/routing calls on a multi-line phone system or serving in a front-desk/reception role.
  • Experience coordinating with vendors or service providers (scheduling, ordering, basic contract/invoice tracking).
  • Familiarity with mail/shipping logistics (USPS, UPS, FedEx).
  • Fluent in English, with strong verbal and written communication skills.
  • Must be authorized to work in the United States without current or future employer sponsorship.
  • Ability to lift and carry up to 25 pounds and sit for extended periods, with or without reasonable accommodation.

Responsibilities

Job description

Wildlife Conservation Network is a rapidly growing leader in wildlife conservation, protecting endangered wildlife by supporting conservationists who ensure wildlife and people coexist and thrive. Using a collaborative, entrepreneurial, innovative, and philanthropically generous approach, WCN gives conservation leaders access to the donors, resources, and tools they need to reverse the crises facing threatened species — raising philanthropic funding and channeling it to a vetted network of Conservation Partners and through species-focused Wildlife Funds that support over 125 species in more than 50 countries.

Position Summary

The Office Operations Coordinator keeps WCN’s office, facilities, technology, events logistics, and finance-support functions running day to day. This is a generalist role by design — the person in it moves across a wide range of tasks and prioritizes what’s most urgent on a given day — and it’s a strong entry point into nonprofit operations for someone early in their career who wants to grow. Reporting to the CFO, this role supports the whole organization and works most visibly alongside Donor Engagement and Events around Expo and other donor-facing events. This role is anticipated to be in-office full time.

This role keeps the operational backbone of WCN — office, technology, events, and finance-support functions — running smoothly, freeing the organization to focus on its Conservation Partners, Wildlife Funds, and Rising Wildlife Leaders work in the field. It lives WCN’s values directly: Service (the role exists to support other teams’ work), Integrity (trustworthy handling of financially sensitive tasks like check deposits and petty cash), Community (visitor hospitality and internal culture/engagement support), and Collaboration (close partnership with Finance, Donor Engagement, and Events).

Core Responsibilities
  • Office & Facilities — Keep the physical office running day to day: phone coverage, visitor reception, supplies and systems, vendor relationships (e.g., janitorial), and a well-organized, well-used physical space.
  • Administrative Support — Keep WCN organized and staff supported: general inquiries, mail, filing, new-hire onboarding logistics, shared calendars, and employee engagement activities.
  • Finance Support — Own the day-to-day financial tasks that keep operations running cleanly: check deposits (primary owner), petty cash, vendor invoices and payments, subscription tracking, and monthly credit card reconciliation, in close partnership with the Finance team.
  • Technology & Equipment — Maintain WCN’s computer/equipment inventory and serve as the primary point of contact with WCN’s IT support vendor.
  • Events & Cross-Team Support — Coordinate staff and partner travel bookings and expense reporting, and support logistics for internal and external events, including Expo (storage, merchandise, partner packages).
  • Ad Hoc — Take on cross-departmental administrative support and special projects (Development, Programs, Finance) as they come up.

Compensation is expected to be in the $33-36 an hour range based on qualifications and experience. Benefits include: medical, dental, and vision insurance contributions; chiropractic/acupuncture; basic life insurance and AD&D; Health FSA and dependent care (pre-tax); a retirement plan with a 100% employer match on employee contributions up to 6% of salary; 11 paid holidays plus 1 paid floating holiday; 15 days of paid vacation in the first year (+1 day per year worked); paid sick leave; and employee wellness, mental health, and discount programs.
