Job summary

Hospital for Special Surgery seeks a Patient Access Specialist to join our team. You will handle admissions and outpatient registrations, verify insurance, and help patients navigate the revenue cycle with empathy.

This role requires strong communication, the ability to manage fluctuating patient flow, and collaboration with clinicians and billing staff. A minimum of an associate degree and revenue-cycle knowledge is preferred.

Qualifications

  • High School Diploma or GED; associate degree required.
  • Associate’s degree or higher preferred.
  • Bachelor’s or Master’s degree preferred for advancement.

Responsibilities

  • Report insurance coverage and/or Managed Care issues to leadership.
  • Supervise clerical staff including referrals and insurance problem resolution.
  • Coordinate end-of-year and new-year insurance verifications.
  • Follow up on prescriptions, pre-certification, and letters of medical necessity.
  • Manage billing inquiries with patients and departmental staff.
  • Educate patients on insurance issues and processes.
  • Ensure team meets hospital payment collection expectations.
  • Communicate changes affecting patient flow to the team.
  • Coordinate training/orientation of new staff in the section.
  • Update staff on Managed Care impacts on Rehab patients.

EDUCATION - Required

High School Diploma or equivalent (G.E.D.), may include specialized or vocational courses

EXPERIENCE - Required

3 years experience in admitting and/or ambulatory setting or patient registration in an outpatient setting.

SKILLS – Required
  • Excellent verbal and written communication skills.
  • Strong customer service orientation.
  • Strong computer skills, with proficiency in office automated tools: e-mail, outlook and data entry.
  • Effective communicator with all levels of staff, patients and customers.
  • Ability to respond positively to fluctuations in patient flow.
  • Heavy phones, able to triage phone calls and respond professionally to fluctuations in call volume.
  • Knowledge of front-end role in revenue cycle: insurance benefits collection, verification, authorization, pre-certification, etc.
SKILLS - Preferred
  • Excellent interpersonal and customer service skills. Organization, computer skills, word processing, spreadsheets, insurance verification and email. Outlook scheduling and navigation of oral and written skills.
PHYSICAL WORKING CONDITIONS

Continuously stand/walk or lift/handle/carry material or equipment of moderate weight (20 to 50 lbs). Examples: Nurses, LPNs, and Physical Therapists.

ENVIRONMENTAL WORKING CONDITIONS

Located in an indoor area with frequent exposure to mild physical discomfort from dust, fumes, temperature, and noise. Examples: patient care providers and laboratory technicians.

OSHA Category 1

Tasks that involve exposure to blood, body fluids, tissues, and other potentially infectious materials.

POSITION & UNIT ACCOUNTABILITIES – Competencies
  • Reports any insurance coverage and /or Managed Care difficulties to departmental leadership, as applicable.
  • Supervises clerical support staff including checking problems with referrals, insurance problems, linking patient appointments and wrong accounts.
  • Coordinates end of year and new year insurance verifications within the section.
  • Follows-up with Section staff (clinical and clerical) on a daily basis with prescriptions, pre-certification, letters of medical necessity, physicians' offices and letters of appeals.
  • Manages billing issues or inquiries with patients and patient accounts/departmental supervisor, as applicable.
  • Educates patients, upon request, regarding insurance issues.
  • Ensures that their team is meeting hospital expectations regarding payment collection.
  • Communicates with appropriate staff regarding changes and/or disruption in patient flow.
  • Coordinates training/orientation of new staff to the Section (clinicians and administrative staff).
  • Updates departmental personnel regularly with respect to Managed Care and its impact on Rehab patients.
