Job Summary/Description:

This role involves performing administrative and accounting duties for executive management. The successful candidate will work closely with the executive team, shared services accounting, and human resources to ensure effective communication across station teams and Gray Media.

Duties/Responsibilities include, but are not limited to:
  1. Collaborate with Shared Services Accounting to ensure sound accounting practices at the local station level.
  2. Coordinate vendor invoice processing for proper payment via Accounts Payable, including G/L coding.
  3. Communicate with the sales department and Shared Services regarding customer invoicing and accounts receivable.
  4. Log and forward locally received payments to Shared Services.
  5. Provide payment posting instructions.
  6. Review and approve customer billing.
  7. Process adjustments, transfers, and refunds.
  8. Reconcile broadcast logs.
  9. Assist with calculating sales commissions.
  10. Maintain petty cash.
  11. Coordinate with HR, Benefits, and Payroll to implement benefit and compensation plans.
  12. Conduct new hire onboarding and orientations.
  13. Maintain personnel files and payroll records.
  14. Coordinate bi-weekly payroll processing and changes.
  15. Manage recruiting and EEO efforts, including posting employment openings and ensuring compliance with FCC and regulatory reporting.
  16. Serve as the station's Safety Coordinator, maintaining safety program documentation.
  17. Communicate effectively with employees, clients, and vendors.
  18. Perform other duties as assigned by the General Manager and Accounting Manager.
Qualifications/Requirements:
  1. 3-5 years of administrative experience.
  2. High school diploma required; 4-year college degree preferred.
  3. Extensive experience with Microsoft Office.
  4. Ability to maintain confidentiality.
  5. Strong interpersonal and organizational skills.
  6. Ability to meet deadlines.
  7. Basic accounting knowledge.
  8. Experience with benefits and HR policies.
  9. Ability to work in a fast-paced, team-oriented environment.
  10. Strong writing skills under deadline pressure.
  11. Initiative and quick learning ability.
