Job description

The Administrative Assistant is responsible for various administrative functions for the branch office. This position reports to the Home Care Administrator.

Duties and Responsibilities:
  1. Provides administrative and office support for employees and customers through a variety of tasks related to organization and communication. All duties are completed accurately, with high quality, and in a timely manner. Greets visitors and directs them appropriately. Acts as a resource for information about the company's services. Communicates any barriers to completing duties to the supervisor.
  2. General Office:
    1. Maintains positive and effective communication with employees and customers.
    2. Maintains confidentiality of all information related to clients, families, and employees.
    3. Assists with daily office maintenance and janitorial duties, including garbage disposal, supply replacement in bathrooms and kitchen, and keeping conference rooms clean and organized.
  3. Performs other duties as assigned, which may include:
    1. Serving as a resource and backup for other positions.
    2. Providing recruiting support, such as scheduling interviews, conducting assessments, and documenting candidate information.
    3. Coordinating orientation for direct caregivers.
    4. Maintaining office supplies and forms.
    5. Managing mail and shipments.
    6. Performing clerical tasks under supervision.
    7. Handling scheduling and client care tasks, including staffing, training, follow-up calls, and correspondence.
    8. Participating in after-hours on-call processes to ensure client care and staffing issues are addressed.
Physical/Environmental Demands:

Light to Medium work, primarily desk work with some physical activity such as bending, stretching, and handling supplies. Ability to operate office equipment. Physical exertion may involve moving objects weighing 10 to 50 pounds.

Qualifications:
  1. High school diploma or equivalent.
  2. Preferred: Two years of experience in healthcare, business administration, or education.
  3. Excellent communication skills.
  4. Strong time management, multi-tasking, and prioritization skills. Ability to work independently.
  5. Professionalism, attention to detail, and problem-solving skills.
  6. Proficiency in computer skills, including Word and Excel; typing speed of 50 wpm.
  7. Ability to pass background checks as required by the Virginia Department of Health and related agencies.
