Job description

The role reports directly to the CFO/COO and is responsible for all aspects of running the office and assisting the team. We are a driven, focused, highly collaborative and team-oriented firm that strives for best-in-class business practices across the organization. The Office Manager should be highly service-oriented with a focus on ensuring all business processes are tightly controlled and well-organized. This hands-on and detail-oriented individual will be the go-to person for the team.

Salary range commensurate with experience: $110-150k base + discretionary bonus, fully paid healthcare benefits, 401k match, free lunch, and flexible PTO policy.

Location: Onsite 5 days/week in Midtown East, NYC.

Hours: Flexible, around 8 am - 6 pm, with options from 7:30 am - 5:30 pm.

Responsibilities
  1. Serve as Executive Assistant to the Founder and senior partners as needed (approximately 30% of the role).
  2. Manage building maintenance requests, coordinate with building management and engineers.
  3. Order office supplies, including stationery, food & drinks, tech supplies, and maintain inventory.
  4. Manage accounts payable, reconcile credit card bills, and ensure timely payments.
  5. Coordinate travel arrangements for the team, ensuring compliance with T&E policies.
  6. Prepare T&E reports in accordance with policies.
  7. Set up and coordinate meetings, manage conference rooms.
  8. Greet and direct visitors appropriately.
  9. Answer, screen, and forward incoming calls, providing basic information when needed.
  10. Handle daily mail, deliveries, and couriers.
  11. Maintain a detailed calendar of meetings, reconcile with the broker vote list, and upload relevant documents.
Qualifications / Experience
  1. Undergraduate degree with 3+ years of experience, preferably in financial services.
  2. Strong team player with excellent collaboration skills.
  3. Highly organized with proficient writing skills; experienced in MS Office Suite.
  4. Service-oriented, confident, and capable of managing multiple tasks simultaneously.
  5. Ability to handle high-priority situations outside of office hours, including nights and weekends if necessary.
