The New Mexico Department of Health, Office of General Counsel, is seeking an Office Manager to provide administrative support, including budget management, procurement, and paralegal-type tasks for OGC. The main office is in Santa Fe, NM.

The ideal candidate will have a Bachelor's degree in accounting/finance/auditing/business administration and 2 years of related experience, plus strong customer service and compliance skills.

Qualifications

  • Bachelor's Degree in Accounting, Finance, Auditing, or Business Administration and two (2) years directly related work experience in accounting, auditing, finance, and/or budgeting.
  • Must possess and maintain a valid Driver's License.
  • Experience in customer service, human resources, legal, and compliance is desired.

Responsibilities

  • The Office Manager supports the OGC by performing administrative tasks including tracking inventory, ordering supplies, tracking and distributing mail, tracking leave requests, and assisting with hiring OGC staff.
  • The position also provides financial support by managing the OGC budget and procurement, including processing budget requests, managing contracts, payments, purchase orders, and invoices, and processing travel and training requests.
  • The position may function as a backup for other administrative positions within the OGC and may be tasked with paralegal-type activities (research, writing, filing pleadings, correspondence with outside counsel).
  • The role may be assigned to work on Inspection of Public Records Act responses, redaction of PHI, and/or office reception.

The New Mexico Department of Health (NMDOH) is the primary public health governmental agency of the state of New Mexico. The Department of Health is composed of various organizational units with different functions and activities. The NMDOH Office of General Counsel (OGC) is the office of in-house attorneys who represent the agency and advise agency staff in their work. While the main Office of General Counsel is located in Santa Fe, NM.

This position serves in the NMDOH Office of General Counsel and provides administrative support, including customer service, financial, human resources, and compliance related tasks for OGC.

How does it get done?

The Office Manager supports the OGC by performing administrative tasks including tracking inventory, ordering supplies, tracking and distributing mail, tracking leave requests, and assisting with hiring OGC staff. The position also provides financial support by managing the OGC budget and procurement, including processing budget requests, managing contracts, payments, purchase orders, and invoices, and processing travel and training requests. The position also functions as a backup for other administrative positions within the OGC, and may be tasked with paralegal-type activities (research, writing, filing pleadings in courts and administrative adjudicative tribunals, corresponding with outside counsel and opposing counsel). This position may also be assigned to work on Inspection of Public Records Act responses, redaction of protected health information from agency records, etc., and/or office reception (receiving visitors, answer phones, etc.).

Who are the customers?

The Office Manager provides administrative support to the Office of General Counsel, including support for 8 attorneys, 1 paralegal, the chief privacy officer, and the chief records custodian.

Ideal Candidate

The ideal candidate would have experience in customer service, human resources, legal, and compliance.

Minimum Qualification

Bachelor's Degree in Accounting, Finance, Auditing, or Business Administration and two (2) years directly related work experience in accounting, auditing, finance, and/or budgeting. Any combination of education from an accredited college or university in a related field and/or direct experience in this occupation totaling six (6) years may substitute for the required education and experience.

Employment Requirements

Must possess and maintain a valid Driver's License.

Working Conditions

Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending and reaching may be required.

This position is not covered by a collective bargaining agreement.
