Job summary

POSITION GOAL

Oversee, coordinate, organize and perform the confidential day-to-day administrative functions for the assigned school. Provide secretarial assistance to the Principal and other school-based administrators. Serve as a liaison for staff, students, parents, and District personnel.

Essential Performance Responsibilities

The Office Manager Confidential – Elementary and Middle Schools shall carry out the following responsibilities:

  1. Serve as the primary administrative assistant to the School Principal and act as the lead clerical support for an assigned school.
  2. Coordinate with District functions (e.g., Human Resources & Equity, Payroll, Finance, Maintenance, Transportation) to resolve administrative and operational issues.
  3. Provide backup support for all administrative functions, including front office reception, to ensure smooth school operations.
  4. Respond to inquiries from parents, students, staff, and the public regarding school operations, programs, policies, or procedures.
  5. Coordinate office procedures for clerical staff, including pre-planning, year-end tasks, and special projects.
  6. Contact parents/guardians regarding transportation issues due to weather, illness, or bus delays.
  7. Promote exceptional customer service and address issues efficiently.
  8. Assist with payroll responsibilities, including data entry, report review, and employee concerns.
  9. Serve as liaison to the Business Support Center and other departments as needed.
  10. Coordinate personnel transactions, including job postings, interviews, employment forms, and employee records.
  11. Coordinate security clearance processes for staff, volunteers, and visitors.
  12. Open mail, prepare materials for review, and attend meetings and school functions.
  13. Assist with medical care for students in the absence of a nurse, if authorized.

Minimum Qualifications & Experience

  1. High school diploma or equivalent.
  2. At least three years of progressively responsible clerical or administrative experience.
  3. Strong interpersonal skills and ability to interact effectively with the public.
  4. Effective communication skills, both verbal and written.
  5. Knowledge of school operations, policies, and procedures.
  6. Proficiency in Microsoft Office and keyboarding skills.

Preferred Qualifications & Experience

  1. Associate’s degree from an accredited institution.
  2. Keyboard skills: Speed - 40 wpm, Accuracy - 70%.
  3. Experience in a school office setting, including bookkeeping, budget, personnel, or payroll.
  4. Bilingual skills.

Significant Contacts

Frequent interaction with parents, students, District staff, Board Members, officials, and the public regarding inquiries.

Physical Requirements

Light work: exerting up to 20 pounds of force occasionally, and/or up to 10 pounds frequently.

Terms of Employment

Salary and benefits are in accordance with the District’s compensation plan. Work hours and year are established by the School Board.
