Job summary

University Enterprises Corporation at CSUSB seeks an Office Manager to provide administrative support for the College Corps program, manage budgets, and coordinate travel and staff scheduling. This full-time, benefitted position reports to the College Corps Director and requires strong communication, confidentiality, and collaboration across university departments.

The role includes budget oversight, grant documentation, and regular travel between CSUSB campuses and partner sites.

Qualifications

  • Bachelor’s degree required.
  • Three years professional experience; one year supervisory experience.
  • Working knowledge of university accounting systems and/or PeopleSoft.
  • Strong interpersonal, oral and written communication skills.
  • Proficiency in Office Suite; valid California driver’s license; ability to handle confidential information.

Responsibilities

  • Provide administrative support to program staff and coordinate program services.
  • Oversee budgetary and fiscal oversight of the program budget and management of budgets.
  • Serve as the point person for budget matters with accounting, sponsored programs, and university departments.
  • Answer calls, screen correspondence, and prepare grant-related documents and reports.
  • Maintain calendars and schedule meetings; prepare materials for department/program meetings; liaise between UEC, CSUSB units, and staff.
  • Coordinate staff time sheets, vacations, and travel arrangements; manage per diem requests and expense reimbursements.
  • Oversee student staff and work-study processing; assist in performance evaluations.

University Enterprises Corporation at CSUSB ("UEC") supports the university’s educational mission by providing quality services that complement the instructional program. The University depends upon UEC to provide services that cannot be supported with state funds. We’re responsible for business enterprises on campus including, but not limited to, dining, bookstore, convenience store, and vending services. We also serve as the grantee for federal, state, and local funding for research and sponsored projects.

Position Summary

Temporary, Staff, Non-Exempt, Full Time, Benefited through 6/30/2027 (Appointment may be renewed annually based upon availability of funds, availability of work and satisfactory job performance).

Salary: $4,250.00-$5,050.00 per month.

Location: CSUSB Campus.

Work Schedule

40 hours per week. Typically 8:00AM to 5:00PM, Monday through Friday. Some evenings and weekends may be required.

Typical Activities

Under the general supervision of the College Corps Director, the Office Manager will work independently and in conjunction with program staff to provide program participants with required and permissible services including but not limited to:

  • Provide administrative support to program staff in the coordination and implementation of program services including but not limited to, required and permissible services to participants.
  • Provide budgetary and fiscal oversight of the program budget. Support the Director with the management of program budgets and financial accounting.
  • Serve as the point person for all budget related matters with UEC accounting/sponsored programs and university departments.
  • Answer incoming calls; directs calls to appropriate program or individual; takes messages when necessary and ensures messages are forwarded in a timely manner.
  • Screen, sort, and process external and internal correspondence.
  • Prepare and compose grant-related documents, correspondence and reports.
  • Maintain a monthly calendar, schedule meetings, and manage recurring department/program meetings.
  • Prepare all documents and materials required for department/program meetings including agendas, reports and research.
  • Serve as a liaison between the UEC, Office of Pre-College Programs, SEMM departments/offices, university departments and staff.
  • Coordinate submission of staff time sheets and vacation schedules to ensure completeness, appropriate approval signatures, and processing to the Payroll Department in a timely manner.
  • Coordinate travel arrangements for programs staff including reservations and payments; and manages per diem requests and expense report reimbursements.
  • Manage and supervises the program’s student assistants and office staff; including the documentation and processing of work study for student staff.
  • Support the Director in the evaluation of performance of student assistants, coaches, and interns/volunteers.
  • Manage, monitor and track requests for expenditures and processes for the programs, and ensures quality control is met.
  • Manage vendors which includes screening and obtaining vendors’s W-9 forms.
  • Adhere to established standards in areas of correspondence, fiscal and program compliance, timekeeping procedures and accounting practices.
  • Support the Director in ensuring that all funding and program records adhere to California Volunteers’ funding guidance
  • Maintain and safeguard documents, sensitive information and ensure confidentiality of grants.

Travel Requirements:

Regular travel between CSUSB’s San Bernardino and Palm Desert campuses, partner school sites, and community locations within the program’s service area (Riverside and San Bernardino Counties).

  • Regular travel to support outreach events, service trips, and workshops during weekdays, evenings, and occasional weekends.
  • Ability to transport program materials and supplies to and from event sites as needed.
  • Valid California driver’s license, proof of current automobile insurance, and CSUSB Defensive Driving Certification are required prior to driving on behalf of the program.
  • Occasional overnight travel may be required for conferences, trainings, or extended program events/activities.

Minimum Qualifications

  • Education:
    • Bachelor’s degree.
  • Experience:
      Three years of professional experience. One year of supervisory experience.
  • Other:
      Working knowledge of accounting systems in a university setting and/or PeopleSoft experience. Have strong interpersonal, oral and written communication skills. Demonstrate proficiency in Microsoft Word, Excel, Outlook, and PowerPoint. Have a valid California driver’s license, reliable transportation and vehicle insurance. Possess the ability to handle confidential and sensitive information, along with the ability to work cooperatively with a diverse group of people, exercise sound judgement, determine priorities, complete assigned projects in a timely manner and work well under tight deadlines. Possess the following critical strengths including but not limited to: reliability, attention to detail, and strong self-initiative.

  • Excellent interpersonal, communication, and organizational skills, with experience working collaboratively across departments or with community partners.
  • Proficiency in Office Suite, student information systems, and/or data management platforms.
  • Strong preference will be given to candidates who have succeeded in overcoming barriers similar to those confronting the project's
  • Experience working in grant funded/auxiliary educational programs
