Job summary

SunShare, headquartered in Denver, seeks an Office Manager & Administrative Coordinator to ensure the efficient day-to-day operation of the Denver headquarters and to serve as the administrative hub for the organization.

This role provides cross-functional support to Development, Human Resources, and Leadership teams through office management, document coordination, meeting and event planning, administrative support, and operational project coordination.

Qualifications

  • Three (3)+ years of experience in office management, administrative coordination, operations, executive support, or a related role.
  • Excellent organizational, planning, and project management skills.
  • Strong attention to detail and ability to manage multiple priorities.

Responsibilities

  • Oversee the daily operations of SunShare's Denver office.
  • Maintain a professional, organized, and welcoming office environment.
  • Order and manage office, kitchen, and breakroom supplies.
  • Coordinate office vendors, maintenance requests, and building services.
  • Receive, distribute, and process incoming mail and deliveries.
  • Coordinate outgoing shipping, courier, and FedEx requests.
  • Maintain office equipment and coordinate service as needed.
  • Welcome visitors and ensure a positive office experience.
  • Coordinate company-wide document routing and signature collection using DocuSign and other document management systems.
  • Prepare correspondence, reports, and meeting materials.
  • Schedule meetings, reserve conference rooms, and coordinate meeting logistics.
  • Organize and maintain electronic and physical filing systems.
  • Support company communications and administrative initiatives.
  • Maintain shared calendars and administrative resources.
  • Coordinate document execution for the Development & PMO team.
  • Route agreements, contracts, and project documentation for internal review and executive signatures.
  • Track document status and ensure timely completion.
  • Organize and maintain project files and records.
  • Coordinate onboarding logistics for new hires.
  • Prepare workspaces and onboarding materials.
  • Assist with employee communications and administrative HR projects.
  • Coordinate employee recognition programs and internal events.
  • Support HR with special projects as assigned.
  • Plan, coordinate, and execute quarterly company meetings held in the Denver.
  • Coordinate company-wide All Hands meetings, including scheduling, venue setup, agendas, catering, audiovisual needs, presentation logistics, and attendee communications.
  • Plan and coordinate company celebrations, trainings, employee appreciation events, holiday gatherings, and other internal events.
  • Coordinate travel, lodging, catering, meeting space, and logistics for company meetings and leadership events as requested.
  • Partner with leadership to ensure meetings and events are professionally executed and align with company objectives.
  • Manage event timelines, vendor relationships, budgets, and logistics from planning through execution.
  • Provide administrative support to leadership and departments across the organization.
  • Assist with operational improvement initiatives and special projects.
  • Identify opportunities to improve administrative processes and efficiencies.
  • Build strong working relationships across departments while providing exceptional internal customer service.

POSITION SUMMARY

The Office Manager is responsible for ensuring the efficient day-to-day operation of SunShare’s Denver headquarters while serving as the administrative hub for the organization. DUTIES & RESPONSIBILITIES
Office Operations

Compensation & Benefits

Base salary of $65,000 - $75,000 depending on experience. Additionally, every full-time employee of SunShare receives stock options in the company, with the goal of allowing employees to participate in the increased value that they create. This position includes a competitive benefits package. Benefits include health, dental and vision insurance benefits with up to 100% of premiums covered by the company, company sponsored disability coverage, company sponsored life insurance coverage, eligibility to participate in a company matched 401(k) plan, and eligibility to participate in SunShare’s stock option plan, as well as paid time off and paid holidays.
