Job Summary
The Office Manager will be responsible for managing the front office and the receptionist, coordinating building maintenance needs with the facilities team, managing vehicle fleet logistics and maintenance, and providing light administrative support to Facilities. A successful office manager will be detail-oriented, capable of managing multiple priorities, and comfortable working both independently and as part of a team.

Main and Off-Site Office Key Responsibilities
- Supervise receptionist.
- Provide lunch and time off coverage for front desk.
- Coordinate meeting and event room setups, ensure rooms are prepared.
- Conduct regular visual inspections of both the interior and exterior of the main office building.
- Address any issues immediately when possible or submit a help desk ticket to ensure timely repairs.
- Ensure a complete inventory of supplies related to office cleaning and maintenance (cleaning supplies, toilet paper, hand soap, paper towels for dispensers, trash bags, and all other related items)
- Ensure the off-site facility is clean, organized, and functional.
- Manage monthly safety drills, and inspections for main office and off-site facilities.
- Ensure First Aid Kits are stocked.
- Run monthly AED check and report findings into monitoring platform.
- Manage HVAC, lawn care, pest control, carpet cleaning rug, utilities, landscaping, and snow removal vendors.
Fleet Key Responsibilities
- Prepare, enter, and maintain accurate records across fleet data systems.
- Work with Client Services to ensure fleet repairs and preventative maintenance are completed in a timely manner.
- Maintain cleanliness of and ensure preventative maintenance/repairs occur for loaner vehicles.
- Assist with regulatory fleet specific compliances, licensing, registration, and reporting requirements.
- Oversee the company’s vehicle fleet operations, including scheduling, check-in/check-out procedures, and usage tracking.
- Ensure a complete inventory of vehicle supplies.
- Properly document and communicate in-progress or completed assignments.
- Communicate with stakeholders about issues, resolutions, timelines, and expected outcomes.
- Collaborate on projects across departments when necessary.
- Ensure monthly safety drills and inspections are completed at both Main Office and off-site maintenance office, and stocking First Aid Kits.
- Other duties as assigned.
Qualifications
Standard - Demands of the Job
- Able to perform functions described in job responsibilities.
- Able to lift 75 pounds and assist with lifting, transferring, or moving equipment up to 200 pounds with the assistance of equipment. This includes loading and unloading from average vehicles and vans.
- Able to drive company vehicles independently. May be exposed to extreme weather conditions.
- Able to operate email, use timeclock program and respond to work orders. Able to operate general office equipment and computers including typing, learning new software applications and programs as related to performing job functions.
- Able to attend work as required by position assignment including working a flexible schedule to support team as needed.
- Able to work in a fast-paced environment.
- Able to effectively manage competing priorities.
Job Requirements/Desired Education and/or Experience
- HS Diploma/equivalent required.
- 1 year of supervisory experience required.
- Basic skills using Microsoft Office products – with an emphasis on Excel required.
- Valid driver’s license required.
- Acceptable driving record and valid vehicle insurance required.
- Must be at least 18 years of age.
