In 1950, Riviera Day School was founded as a co-educational, independent day school with the highest educational ideals. Today, Riviera Day School serves students PK3 – 5th grade. In 2011, Riviera Preparatory School moved to a new, state-of-the-art facility on almost 14 acres located just minutes away from the original campus and now serves students in grades 6-12.

Role Overview

The Office Manager is responsible for creating a positive, pleasant, and professional atmosphere in the main office for all students, staff, families, and visitors to experience. Their role entails administrative support for the office and school leadership team and plays a crucial role in ensuring smooth communication and efficient operation of the school’s administrative functions.

Responsibilities & Duties
Visitor Management
  • Welcomes parents, students, staff, and visitors to the school
  • Provides support and guidance to all those entering the school
  • Ensures that all guest sign in and security protocol are followed
  • Creates a powerful and positive first impression of Riviera Schools for all who enter the building
  • Demonstrates a pleasant demeanor and models the school’s values of respect, professionalism, responsibility and compassion, among others
  • Supports school events by welcoming and signing in guests and maintaining a pleasant arrival to the school
Managing Communication
  • Answers and directs phone calls
  • Responds to emails and other forms of communication on behalf of the school
  • Receives and delivers messages
  • Receives packages on behalf of the school
Attendance
  • Enters tardy students into FACTS as they enter school and sign in on ConciergePad
  • Supports with data reconciliation for late arrival and early dismissal students
Administrative Support
  • Assists with administrative tasks such as filing, copying, and data entry
  • Maintains office supplies and requests new supplies as needed
  • Supports the Head of School, Executive Director, and Assistant Heads of School with administrative tasks
  • Reconciles forms and paperwork for a variety of purposes to include medication management, records, field trip forms, etc.
Record Keeping
  • Maintains and updates student records and files
  • Ensures confidentiality and security of sensitive information
Providing Information
  • Keeps up to date on school policies, procedures, and events and provides this information to school stakeholders
