Your Opportunity
As our Lynnwood Office Manager, you will take on a vital supporting role of being the first impression and representation of our company! The ideal candidate will understand and demonstrate excellence in both internal and external client service, along with providing timely, accurate, and professional administrative support in keeping with Stantec’s high standards.
This position is in Stantec’s Lynnwood office, with defined hours of 8:00 am – 5:00 pm Monday through Friday.
Your Key Responsibilities
Greets visitors and staff and provides a professional, welcoming image of Stantec
Primary office contact for Human Resources, including supporting new hires, Separations, and communication of information
Refers and directs calls, emails and visitors as required
Schedules, tracks, and assigns meetings and conference rooms
Responsible for maintaining inventory and organization of office and kitchen supplies
Responsible for incoming and outgoing mail and deliveries
Assist with coordination of lunch and learn seminars with industry vendors
Leads planning and logistics for internal and external staff/office events
Develop and manage operating budgets, proactively track variances, and manage within target
Achieve cost savings through maximizing utilization of suppliers, preferred vendors/contractors and identify additional efficiency opportunities
Ensure all site management and operations practices comply with Stantec standards
Proactively manage all facility services in standard processes and procedures
Interact with property management to address facilities issues
Primary contact for property management – available on call 24/7 as needed for emergencies
Implement preventive, ongoing, and anticipated maintenance/repair programs
Conduct frequent meetings with the office leadership and with all staff to convey office, region, and company information
Supports OSEC (Office Safety Environment Coordinator) to ensure the safety of staff and support office safety initiatives as needed
Supports Records Coordinator to achieve compliance with Records Management policies and procedures
Provides administrative support to office staff as needed
Handles special projects in support of firm objectives as requested
Qualifications
Your Capabilities and Credentials
Must be able to multi-task and communicate well, be highly organized, detail-oriented, resourceful, and dependable.
Proficiency with MS Office Suite with expertise in Teams, Outlook, Word, Excel and SharePoint.
Must have positive, can-do attitude. Service oriented.
Comfortable learning and using new technology.
Must maintain a professional, polished appearance and demeanor
Must be able to successfully work both collaboratively and independently.
Education and Experience
5 years’ experience in a professional office environment
Certification or Associate degree or currently working on degree from technical school or college in related field or equivalent combination of education and experience preferred.
Professional experience in an office environment preferred.

Salary Range(s):
The final agreed upon compensation is based on individual education, qualifications, experience, and work location. At Stantec certain roles are bonus eligible.
