Responsibilities
- Oversee daily operations in the Business Office, ensuring efficient, accurate work by staff members
- Assist in hiring, training, and motivating the Business Office team to meet accuracy and timeliness goals
- Manage onboarding and system setup for new hires; maintain employee records, vacation records, and accruals
- Process accounts receivable/payable, clear schedules, reconcile cash, and prepare daily cash reports
- Ensure timely and accurate payroll processing, as well as tax report preparation, deposits, and returns
- Analyze financial statements, monitor accounting entries, and maintain standard monthly entries
- Work with factory programs (incentives, rebates, co-ops) to ensure prompt payments due to the dealership
- Control departmental expenses and review expense trend reports monthly
- Monitor work in process and sublet schedules for accuracy, ensuring alignment with dealership goals
- Identify and automate systems wherever possible, establishing controls to optimize efficiency
- Ensure proactive accounts payable practices that maximize cash flow and take advantage of discount terms
- Maintain a robust filing and security system for all records
- Actively contribute to the highest levels of dealership customer satisfaction and employee satisfaction
- Maintain ethical business practices, a professional image, and foster positive relations with customers, employees, and the community
- Be a leader in achieving customer satisfaction by supporting office functions, including handling mail, phone support, correspondence, and copier support
- Collaborate closely with upper management and department managers, maintaining open communication and meeting their needs
- Participate as an active member of the Management Team, contributing to department stability through motivation, training, and performance reviews
- Undertake special projects as assigned and assist in annual reviews/audits or third-party audits as required
- Perform other tasks as necessary to ensure the dealership’s standards for customer satisfaction, productivity, safety, and cleanliness are met
Qualifications
- Accounting Degree preferred
- High School Diploma or equivalent required
- Good verbal and written communication skills
- Highly motivated, organized, reliable and detail-oriented
- Can-do attitude with ability to work independently within a team environment
- Previous Dealership experience desirable
- Must have a clean driving record and hold a valid driver’s license
- Must be willing and able to submit to a Background Check and Drug Screen
